How to turn down vendors

Hi ladies,
I am going to be meeting with a few photographers to see who we will mesh with the best, but I’m wondering what the best way to turn photographers/vendors down. I was able to do this with caterers and venues, but I feel awkward with the photographers who own their own business and take us out for coffee or drinks or something. Any advice?

How did you turn down the catering vendors or other ones? E.g. can you word it similarly?

For the caterers and venues, it was pretty easy because we got such a deal that we just attributed it to budget, but the photographers we’re meeting with are all similarly priced and are independent contractors vs the big catering companies.

Exactly this. When you run your own business you are aware that you may not be right for everyone. I would expect they would accept your decision and wish you well.

Yes, exactly. This is pretty much what we said to the photographer we didn’t hire. Don’t feel bad about them treating you to coffee and such, they can write it off as a business expense, and it’s all just part of the job. A good professional will understand. Just be polite and to the point.
