How to deal with disorganized vendor

I know I've mentioned before I had a bad feeling about our florist after i posted on here. I tried to get over it but ever since then, it's been disorganization issue after another.

1. I constantly have to rewrite her quote because she takes bad notes with wrong flowers, wrong colors etc.

2. Proof her note taking system doesn't work: I went to the trial and while the flowers looked good, she did them in the wrong color. She only did one of the three colors she was supposed to do.

3. She set a payment date for a date that didn't exist and then she missed it and forgot to tell us for a month (granted, that's on us too).

4. Her emails and quotes are riddled with typos and inaccurate notes. Sometimes they're at the point where they don't make sense.

I think I finally have her notes correct. I think. I'm waiting for her to email me back. I have no idea what she was saying in her last email. She talked to me about something that had nothing to do with me. I'm planning to have a call with her to go through everything line by line and then also have my girlfriend and then coordinator look through all the flowers when they arrive. I've alerted our DOC of this (florist drop off is before DOC arrives, hence the friend). With a 1.5 weeks left, what would you do? We're in too deep. How can I fix or anticipate any other mistakes and problems?

    I would take a look at your contract but if you can I would withhold the final payment until delivery.

    Have the notes and everything that was promised printed from the email where you and your florist both agreed and have you friend check it off as it is delivered.

    At the end of delivery if everything is there then your friend can hand over the final payment. If things are missing or incorrect I would have you friend make a note and have the florist sign the checklist noting that these things that were agreed upon are missing.

    I would then have your DOC (when she arrives) call the florist and work it out with a correction, partial payment, or refund.

    It sounds harsh and time consuming but you already know that she is unorganized. Might as well have documentation. At the end even if everything goes smoothly I would still leave the florist an honest review citing difficult communication and all the mistakes.

    I agree with the PPs advice about documenting everything and having your friend check everything against the list before the florist leaves. Making note of anything that is wrong (hopefully there will be nothing to make note of), and having the florist sign it. This will make it easier for the DOC to dispute and work out.
