Hotel Blocks Wording

I have a courtesy block with a couple of hotels near our venue. Our guests will obviously know I have the rooms reserved but I don't want them to assume that they are already paid for.

Do you think they will assume it's already paid for or should I mention that each guest is still financially responsible to book their room(s)?

Is there a proper/polite way to give them a heads up to be prepared or should I just leave it as "we reserved rooms at these hotels"?

    This is what we had on our accommodations page
    "We have a room block available to book through

    XYZ Hotel

    The room block is set for check-in Friday, May 10th and checkout on Sunday, May 12th.

    The room rate is $119/night and includes breakfast voucher for all room occupants.

    The room block will be honored until 11:30 PM on Friday, April 19, 2019. Reservations received after this date will be provided on a space available basis at the prevailing hotel rates.

    I have been giving the link out for our wedding website for months, telling people to go there for info about where to stay. On there I have the link for our block and tell them to click there or call X-number to get rates and book a room. I also have all the details of when the rate expires and about changing/canceling reservations. I don’t think anyone expects the bride and groom to pay for their hotel room for any wedding, but it always shocks me what I read on here so I could be wrong.

    My sentiments exactly! I will also have it posted on our wedding website as well. I just wanted to make sure that no one got the wrong idea and then try to blame me for not specifying.

    My accommodations cards and website say: We have reserved a block of rooms at the following hotels for our guests. Please book by October 31 and reference the My Name/His Name wedding to receive a discounted rate.

    On my website I have more space so I also added: After October 31 the rooms will be released for public sale and the rate will go up.

    Yes. That makes sense because the last thing I would want is for someone to miss the deadline and then get upset because the rates weren't the same. The way my guests are, I'll definitely need to cover all my bases. Thank you!

    Below is what I put on our wedding website. I had no problems. 14x different groups have booked so far.

    We have set up a block of rooms at the Residence Inn by Marriott. Please follow the link to receive a discounted rate on a room: hotel link.

    Please book hotel by Friday, September 27, 2019 to receive the discounted rate.

    The hotel is only 10-15 minutes from the venue. Complimentary shuttle services will be available from 9:30 am to 10: 30 am from the hotel to the venue, and from 4:00 pm to 5:00 pm from the venue back to the hotel.

    Mine is going to look exactly like that. Just picked our hotel a few days ago and have 30 rooms reserved until 2 weeks before the wedding.
    People need to know how soon they have to book, what the hotel is and then the link will give them the prices.
    I don’t know anyone that would think the rooms are already paid for.

    Right! But I've definitely heard some stories and I'm just like there are really people out there like that. Although most of our guests are family, I still don't want to assume that they already know they'll still have to pay. I'd rather cover any and all bases.

    Yeah, we are actually paying for the shuttle service for the 2 hours (it cost us $300 for roundtrip), but it was cheaper then renting a bus for the day.

    I can't imagine guests will think you are footing the bill. Our accommodations card said something like "The bride & groom have a room block at X for $ per night. You can book rooms at X no later than X."

    I let guests know the hotel information, that a discounted rate is a available upon booking at this hotel.

    It never occurred to me that guests could think that they aren’t financially responsible for booking through a block, but it’s a good point! Our wedding website includes the rates for our two blocks, so hopefully that makes it clear.
