Hotel Block Help!

Hi everyone! My wedding is on February 26 2022.. I don't have much more to do but I do need to reserve a hotel block for my guests. The venue I'm working with have an agreement with hotels near BWI airport that 1.) are not very nice and 2.) are not near much... but they provide free transportation if x amount of rooms are reserved. I'm thinking we will need about 20-25 rooms amongst our 160 person guest list... How do I ask my guests if they will use our hotel block before I start negotiating? I would like to negotiate within the hotels portfolio just in a nicer city with more around but the free transportation would be great to have. Thank you in advance!!

    I'd offer a hotel block, but ultimately it's on your guests for their own transportation. Our venue is 2+hours away from an airport (New England problems). We put hotel information on the back of the invitations as "Hotel Accommodations May Be Made At" and listed two budget friendly but nice hotels nearby.

    Obviously depends on where you’re getting married and the hotel and transport options around, but have you considered not doing a block and just letting your guests figure out where they’d like to stay? A lot of people might prefer to stay at a hotel where they get travel points, or do an Airbnb or something. We’re getting married in California and when I looked into hotel blocks they needed me to guarantee a certain number of rooms (so I’d have to pay whether my guests partook or not). We decided to skip that and just negotiated a 15% discount with the hotel for wedding guests (we got a custom discount code to give our guests). All this was back before covid was an issue. With everything that’s happened over the last year we’re expecting fewer out of town guests than we initially planned for, so I’m so glad we don’t have the stress of being on the hook for unused hotel rooms in addition to the stress of planning a wedding during a pandemic.

    Really?! Ok! I thought it was the thing to do to offer transportation...but its honestly just another cost. Everything is roughly a 30 min drive so it's nothing crazy but some people will have to rent a car - but maybe that's just not my problem! Appreciate your input! Thank you!

    I ended up booking blocks 20 minutes out from my venue and booking my own guest transportation for guest convenience. Most of my guests are traveling so for 180 people I had one hotel block with 20 (that was all they let me block) & another with 80. A little over a month out from my wedding and both blocks are fully booked out!

    Most of the larger chain hotels let you have courtesy block with no cost or minimum requirement, so if the rooms don't book no big deal! Better to have more than too little!

    I asked a similar question a while back because I thought transportation was on us! Everyone said it's on the guest, and it's a huge stress relief knowing that it's one less thing to worry about! Smiley smile
