Help with dates!

Patricia, on January 24, 2020 at 10:06 AM Posted in Planning 0 7

Good morning, everyone. I need some help!!!

Our wedding is September 19th, 2020. Our venue MUST HAVE the final guess count by August 19th at the latest or we will get charged a "late fee"... Any suggestions on when should I send the invitations AND what should the RSVP date be?

Also, when should I send the Save the Dates? I have them ready, but I don't want to send them TOO early. A little bit more than half of our guests are out of town (mainly the North East part of the country) and the wedding will be in St Augustine, FL.

Any suggestions???

I would send save the dates right now, invites at the end of June or beginning of July and your due date by August 12. You’re gonna have people who never send them and you need a few days to text everyone.

I agree with PP. I would just remember that the week after they are due you will need to chase down people and might need more than a week depending on how responsive your group is and what your schedule is like.

I agree with sending the save the dates now. You normally want to send them out 8-6 months prior to the wedding. I find the more notice the better. I would send your invitations end of June or beginning of July. I would make the RSVP date a week or two prior to the actual date you have to give your venue in order to give yourself enough time to contact anyone that doesn't RSVP on time or at all. We had 40+ people we had to contact.

Make your RSVP due date 1 week before 8/19. Send invitations 6-8 weeks prior to THAT. When you reach out to guests who haven responded after your RSVP deadline, make sure to tell them you’ll need to provide a final headcount by 8/18 (give yourself an extra day)

I'd send out the save the dates now (I know some people think that's too early, but I sent mine out like 8 months before the big day--never hurts to plan ahead in my book). If they need the information by Aug 19th, I'd make the RSVP date August 5th and send them out in the beginning of June (8 weeks will bring you June 10th).

Trust me, you're going to need time to contact people, and many of them won't get back to you in time. Keep in mind that some places will need your seating chart by then, so definitely allot that time (and ask the venue if they need that). If they don't, you can push everything up a week if you want, but I had people take almost 2 weeks to get back to me, so it is better to be safe than sorry.
