Headcount Help!!

So for my ceremony & cocktail hour I’m going to have a saxophonist, but not sure if I should be including him in for a plate? Do I ask him? Does he count in my headcount?

    Check the contract. If he requires a meal, it should be in there. Otherwise, I would just ask him.

    Check your contract with him. If anything it would be a vendor meal. Check with your venue/caterer, many have discounted meals for vendors so he would not be counted for your guest headcount.

    If he’s leaving before dinner, you shouldn’t need to provide him with a meal.

    Since he’s not working through dinner, I’d ask him. I used partial day photographers (just through cocktail hour) and I asked them if they wanted a meal and they said no, that they’d prefer to be on their way.

    At any rate, if he does need a meal, I’d make sure to keep the counts separate for the venue— a guest (and you!) count, and a vendor count. Different venues handle vendor meals differently , so I’d count them separately for clarity
