Ghosted after deposits

Allie, on November 20, 2018 at 11:28 AM Posted in Planning 0 23

Hi everyone! I finally put a deposit down on a venue last week. The owner/coordinator was super helpful and quick to get back with me about questions before putting down the deposit, but now that I want to discuss actual details, she's not as responsive. I feel bad because I feel like I'm bugging her, but I need to know if I'll have room in the venue to hire a piano player, if she has specific vendors, planning the menu, etc. Anyone had this happen?

I wouldn't think anything of it. Thanksgiving is in 2 days she could just be busy with that. Hopefully she gets back to you.

Considering Thanksgiving is less than 48 hours from now its entirely possible the venue is closed or she is out on vacation. I would just take a deep breath and wait until the end of the business day on monday before reaching back out.

Might be tough with a holiday week. Check back next week but also call. Hospitality is a rough industry and there's a high turnover (we went through 3 managers during our planning process). Make sure any promises are written in your contract and/or written down and confirmed by both of you in e-mail (prices and special requests should be in the contract). Not only is it easier for new managers to take over but they need to honor what's been agreed to in writing.

Yeah, that’s unfortunate but I feel like pretty normal... they’re all less eager to please once you’ve committed to them lol, that’s how ours was too.

If it’s super urgent I would try calling her. But also keep in mind it is a holiday week. Maybe try her again next week if she doesn’t get back to you by then?

I would call her or stop in the week after Thanksgiving. This could be super busy time for her. I also found that I got far more of my venue's attention as the date got closer to my wedding (like 2 months before). Good luck! I'm guessing it's hard to balance all the activity if they do say 2 wedding a week every week.

Yeah I'm sure Thanksgiving has something to do with it. I'm just panicking because I need to book other vendors. We just decided to get married in March so pulling together a wedding in 4 months is TOUGH lol

How have you contacted her? Email or phone? I would just come up with a list of ALL the questions you can possibly think of and tell her you need to schedule a meeting or phone call for planning.

We either text or talk on the phone. I think next week I'm going to make a numbered list of all the things I want to discuss and email it to her and try to set up a phone call. The venue is way out of town so I can't go meet in person unfortunately.

Your contract with them or their website might have information on perferred or required vendors. When we booked we were given a menu with our options to choose from since we were required to use the venues catering. Then we received a list of preferred vendors, but were also free to hire any outside vendors for everything else (photography, DJ, Officiant ETC). I would go through your contract, or look on the website to get some answers yourself, and then just start researching and getting availability and quotes so you at least can get some footwork in while you wait to hear back.

Give her a little more time with Thanksgiving coming up!
I did have this happen with our venue though. I sent the coordinator an email and heard nothing back for almost a week. Then I emailed again and copied her supervisor on it. The supervisor responded telling me that the coordinator was no long with the venue and she would be the point of contact from then on. Which is funny because the coordinator wasnt even the one we started with to begin with! I hired my own coordinator just to be sure I had somebody who knows what's going on!

Yeah the owner told me she could help me negotiate and get a good deal with her vendors (she hasn't told me who they are yet) for photography and music. I'm thinking about just going ahead and booking the people I've found. I doubt it will really save me money to wait so I might as well just book what I need before people start getting booked up.

Most of the things you’re looking to inquire about- room size, whether specific vendors were required, and when the menu would be planned- were all included in our contract with our venue. Have you looked that over?

Yes I've already looked through the contract and we talked about some of them beforehand. No specific vendors are required. She was just trying to be helpful and since I'm not super picky, I'd rather go with people who know the venue and that she's used before.

then I would just look on the website and see if you can fine a list of preferred vendors. Ours had one listed online, or you can maybe go through their facebook page to get some preliminary research done. However, it really doesn't matter since most vendors won't respond to you after the holiday anyway - most are probably off the next few days, and may have wedding this weekend

THIS! I felt the same way after we signed with our venue. It was like the person so overwhelmingly friendly during our tour and signing, became very cold and disinterested afterwards through email. I told myself it was because our wedding was over a year away at that time, and they have other weddings happening in the upcoming days and weeks that they need to tend to.

You're closer than I was when I signed so your questions do sort of need answers sooner rather than later, but like others have said, it's probably just because Thanksgiving is imminent. Early next week would be a good time to reach back out if you haven't heard anything by then.

If it's any consolation, we are now five months out exactly and my point person at the venue is back to her overwhelmingly friendly self - emailing me about scheduling a tasting and final details meeting! Smiley smile no worries!

That’s very reassuring to me too, I was figuring that’d probably happen as we got closer. Our coordinator has been impossible to reach over email and very difficult to get over the phone, but once I did reach her she was more than happy to schedule an in-person meeting with us—she literally spent 3 hours with us going over all the details and fixing the issues we had! After that meeting too she gave me her cell number in case I have an urgent question. I have some questions for her but not urgent yet so I’m not going to abuse the privilege lol. She said our tasting would be about 3 months before the wedding (we are 6 months away now) so I’m figuring around then she’ll probaby get more attentive again

I kind of had the same thing happen, but think of how many other weddings they will have between now and yours that are probably a higher priority to them (this sounds mean, but it's how it was explained to me and it made sense). And like others have said, it is Thanksgiving week.

Yeah I get that too. It just stinks because communication with the coordinator was one of my biggest deciding factors in picking a venue since I'm getting married out of town.

Like others have said, don’t stress, it’s the holidays! My venue is closed today through Monday, they will get back to you next week for sure!
