Wedding timeline.... HELP!!!

Alright I have dinner planned for 5pm, and would like the wedding to be about 3?

I need help setting the timeline, I have the park the entire day, 930am-11pm on Sunday april 21. Nows the fun part, toasts, dollar dance ( if we do it), garter toss, bouquet toss, etc.

It will be a short ceremony (likely 30 mins) and well be doing pictures in the park.

I have the photographer for 6 hours and im kind of stressing I wont have enough time with her for everything.

Oh wedding and reception in the same park, and the dj needs 1hr between ceremony and reception for equipment setup and take down

    This is one that was posted awhile back that I am finding to be very helpful.I think Hayley originally posted it? Note it is in time increments so you can just plug in exact times that work for you. Hope it helps!

    0 - 0:15 people arrive (bride in bridal room doing touch ups)

    0:15 - 0:30 Ceremony

    0:30 - 1:30 Cocktail hour

    1:30 - 1:35 Guest find seat - WP lines up

    1:35 - 1:45 Introductions - people make their way to the table

    1:45 - 1:55 B&G 1st dance

    1:55 - 2:00 Prayer - Start Dinner

    2:00 - 3:00 Meal (have toast During dinner, no reason for staff to wait until 3 toast are done to start bringing out the food)

    3:00 - 4:00 Open Dance Floor

    4:00 - 4:15 Special Dances

    4:15 - 5:00 Open Dance Floor

    5:00 - 5:15 Bouquet/Garter

    5:15 Cut Cake

    5:20 - 5:55 Open Dance

    5:55 - 6:00 Last Dance

    Is it an outdoor ceremony and an indoor reception? Is the next day a holiday? For a Sunday wedding, I wouldn't have things run too long. People will need to travel home at a decent time because they need to work the next day.

    Do you need to do any set up or clean up?

    Is it DIY food or being catered in?

    Do you plan to do 1st looks? With everything at the same location (and being a Sunday) you should talk to your photographer about getting ALL of your combo pictures and bridal shots in Before the ceremony and use the cocktail hour to get shots of you and your hubby and maybe 2 or 3 GIANT family group shots. But get almost ALL of your photos done before the ceremony.

    ** you don't need the photographer all the way to the end of the night, use them for 2 - 2.5 hrs before the ceremony and then sched reception stuff to be done before she needs to leave.

    Dont' forget to build in extra time for things that don't happen instantly. And start your ceremony on time. (You knew I would say that, lol!)

    I was doing an outdoor of course depending on weather, set up and clean up well have plenty of time for since we get the hall the whole day, all I have to do is linens.

    it is catered and The caterer will do the food and that clean up.

    As far as the photos before the wedding im hesitant on because my family is always late and we wanted a bunch of family shots, that and wed still have to see eachother, I was thinking of skipping the first looks....

    thats what Im undecided about, first looks yay or nay, what do you guys think?

    Its really not a cocktail hour, our families are very social and will likely take a little while to find their seats, and we dont want to overwhelm people, we are doing no alcohol since theres maybe a handful of drinkers in the whole 125 guests

    Even if it is just punch and soda, a cocktail hour is a time to serve drinks and have music with some appetizers to entertain the guests while you get photos done.

    If your family is "always late" tell them they need to be at the photo location an hour or 1.5 hrs before they are needed.

    Do 1st looks. The wedding day is about you two, and you should get as many photos together as possible. Those are the shots you will want to blow up and frame.

    You need to set up the linens? Does that mean you also need to set the plates, glassware, flatware, centerpieces? That will be about 12 tables. It will take you some time, longer than you would think. Also, you don't want to be working and be all hot and sweaty on your wedding day. Think about getting someone to do the set up for you.

    If Ceremony is 3 - 3:30, what do you plan for your guests to do from 3:30 until 5pm? Especially because you said the ceremony and reception is at the same place. So there is no travel time from one to the other.

    I would talk with your photographer and work with what she needs. You can plan all you want, but if you don't give your photographer enough time to do what she needs to do (for you) your going to be stressed and pressed for time. And...you don't want to stress the photographer out!! Smiley smile

    Linens are just chair covers and table cloths. The caterer sets everything else up for us.

    I will be doing those at 930am when I receive the building keys.

    My mother and mother in law are going to help, and I have multiple steamers to use. So it shouldn't be too bad.

    We will have appetizers just no alcohol.

    I'll talk to the fiancé about the prospect of first looks and family photos first. Thanks

    Hold the phone... you plan to STEAM the Morning of the wedding.... 125 sashes and 12 table cloths!!!!

    Please tell me I'm reading that wrong. Please, PLEASE, steam everything 2 weeks before the wedding and hang them and bag them if needed. Even the week Before the wedding is going to be crazy, and you don't want to be stressed out trying to get everything steamed in time.

    Well no, it'll be done beforehand. I just mean if for some reason they end up needing touch ups and things. I have 2 unused bedrooms and 2 rooms in my house we don't use that I can lay them all flat in. The venue is like 5 mins from the house too. So there shouldn't be any big issues but always good to have a plan Smiley smile
