Day of coordinator

I’ve been debating on getting a day of coordinator. My venue provides a coordinator but I’m not feeling too confident on her planning/organization skills. Pros and cons of a day of coordinator? How much is yours costing? I understand the price can vary but I’m just looking for an average. I am inviting 200 guests and just want someone to help set everything up and give money to vendors. Thanks!

    I’m paying 1800. But she’s helped me a lot more like give vendor recommendations, book appts with vendors, will be there day of and take over all contracts a month prior. She sets up and cleans up the day of. Unlimited email support and it’s been worth it because I’ve emailed her a lot with questions lol

    We just used our venue coordinator but she was extremely organized. She met with us numerous times. We had a 10+ page document we had to fill out with all of the information for each part of our wedding. While she was really good, not all venue coordinators are good so if you have a bad feeling about her then I would highly recommend hiring one. Depending on where you live can really determine what you spend. We had looked at some and they arranged from $1,500-3,000 so it kind of just depends what all you are looking for.

    Our venue coordinator did everything for us so we were lucky not to have to spend money on a DOC. Perhaps you could sit with your venue coordinator and ask her specifically what she provides on the day if and maybe agree on what you need and don’t need. This would help you know if it’s worth paying a DOC.

    I’m getting married in 10 days and we just had our final meeting with our day of coordinator. I could not be happier that we decided to hire one. She is wonderful. We are spending about $1000. Totally completely worth it.

    We're having between 175 and 200 guests and are paying $1300 for our DOC, which includes a few rentals from her. I would definitely recommend getting a DOC that is strictly for you; often, venue coordinators are only there to protect the venue and do not do as much for you as a private DOC. I'd rather pay a little and have the peace of mind than be stressing about a venue coordinator who may or may not handle everything like I'd like it.

    YES! GO FOR THE DAY OF COORDINATOR!!

    Our venue also provided a coordinator but a lot of her focus revolved around items that affected the venue: aka doors being unlocked so vendors can get in, no issues with the kitchen when caterers arrived, corralling service staff provided by the venue, alcohol prep provided by the venue. The day of coordinator was the one who ran the rehearsal the night before, and at that time provided a timeline to everyone in the wedding party + parents (which her and I created together beforehand). Then day of she was first to arrive, with all contact info, seating chart, and table plan in hand to ensure set up was exactly what we wanted. She was the one checking in on us as we got ready, knew when each vendor was arriving, greeted them, and told them where to go, and really just handled every detail...and for the most part without me even knowing she was there. If there was anything that wasn't perfect, I had no idea because she handled it. She stayed throughout the entire day and helped so much: ex: fixing my train before I walked down the aisle, making sure husband and I had a glass of champagne and snacks after the ceremony/before photos, letting us know when to enter for ceremony/introductions/etc., corralling the wedding party and family for photos, making sure we had all of our belongings before it was time to leave, and so much more.

    It cost roughly $1800 but we began working together roughly 6 weeks before the wedding, where she took all the vendors and ideas I had put together so far and gotten them organized. She followed up with all vendors - confirming contracts, getting details, and building our timeline. She kept me in the loop with any questions and we spoke pretty frequently. I even had a bit of family drama I was worried about that she not only helped me work through by reassuring me everything would be great, but to keeping an eye on everything day of Smiley smile One of the best investments we made!

    With that many guests, I'd definitely look into hiring a day of coordinator. I'm inviting 260 (probably 200 overall), so I decided hire one of my friends, who moonlights as a wedding coordinator. She normally charges $2500+ (we live in SF), but as we've been friends for over a decade, she charged me only $1500.

    Def do it if you can! Our day of coordinator will arrive early, greet each vendor, set everything up for decorations/tables, keep us on time, cue our big moments, make sure to communicate with our vendors throughout, make sure we have drinks and food, handle any emergencies or drama, and break everything down after. She even organizes us through our rehearsal. We are paying $1,000, and it’s so worth it. Her line that sold me was, “my job is to have you just show up to your wedding and enjoy it.” That’s what they do!

    We have 2. One that came with our venue and one to organize the flowers, decor and everything else. They have worked together before and i feel so much better knowing there's someone to handle everything. I just don't wanna be bothered while I'm getting ready Smiley smile
