Day of Coordinator Switched Without Telling Us. Need Advice!

I need advice on what I should do about Day of Coordinator.

We booked her back in January and she works at our venue. Essentially what started to happen was when we had a question we wouldn't hear back from her for weeks. We would reach out via email and even call the venue to no avail. (they are only open on tuesdays and thursdays)

About a week ago we finally go to the venue to speak with someone working and it turns out she is going back to school and our wedding has been reassigned to someone else. Now we are a bit concerned about this because things are already seeming like the things agreed upon and advertised are not the same in regards to the day of the wedding.

This is what our original lady sent us and we had went over:

Day of Your Wedding

-We will communicate with vendors and check in with them if they are late

-We set up all of your decor

-We will place centerpieces and signage

-We will place placecards and table numbers and check for accuracy

-We will ensure that the bartender has the bar menu correct

-Any additional pertinent details will be executed


What the problem seems to be mainly around is someone to set up our rented table linens, table settings and glassware on the guest tables. I spoke with the new day of coordinator and she now says that her staff wont do those things. We have a meeting with the owner of the venue tomorrow for our 30 day out meeting who has been super helpful and sorry for not letting us know about the reassignment.

Am I rightfully confused by this? What would you consider to be "Any additional pertinent details will be executed"?

    Unfortunately, it is very common for these venues to have a lot of turn over in staff. I had my reception at the Fairmont and even there I had 3 different venue coordinators in the year I planned my wedding. No one ever told us either. By the time the 3rd one came, it was 2 months before the wedding and she didn't know anything. Fortunately, I had a chain of emails confirming all the agreed upon details with the previous coordinators. Initially the 3rd coordinator tried to change things but I put my foot down and this worked.

    If I were you, I would insist that they take care of setting things up. It is not unreasonable to expect a venue coordinator to do those things and they left it open by saying "any additional pertinent details will be executed." Plus, they stated they would set up your decor too, so it makes sense this includes your linens, table settings, etc.

    This isn’t uncommon as people change all the time so don’t worry about that. Luckily you have in writing what they agreed to do so I’m sure the manager will honor that. Remain calm in your meeting and show them what was promised and just push for what they told you they would do. Stay firm. Good luck

    Yes, turn over among coordinators is sadly very common. Just be adamant about getting the things you originally discussed, and they should stand by that commitment. Also her saying they won’t set up the tables is really ridiculous as that’s basically ....what they’re there for!! Sorry you have to deal with this as it’s annoying so close to your wedding, but just stick to your guns and they should be able to work themselves out for you!

    Hey Jenna! I’m sorry that you are feeling confused about how to handle this situation with your venue. Do you have a contract from the original event coordinator that you can refer back to? If so, this will be a great asset when dealing with the new coordinator.

    If there are things that you feel really strongly about and feel like you the new coordinator has changed the services provided by the venue, then you should discuss this with them to ensure that everyone can be on the same page.
