coordinator problems

Misty , on August 26, 2019 at 11:51 AM Posted in Planning 1 5

I HAVE to know if anyone else is going through this. We are getting married in Hawaii and have a coordinator there helping us with everything. We have been working with her since July 2018 when we started planning. We do everything via email so it is all in writing which helps and a few scheduled phone calls as needed. Here is my problem-

She forgets EVERYTHING! For example- from the start I said I wanted pineapples going down the middles of the tables for decoration and she knows that and so does our florist (I HOPE) we are going to provide the pineapples from the Costco on the island. So last week she said we need 16 pineapples...for 12 tables I was like there is no way. So I asked her to clarify and her reply was, "Do you want to re-purpose the pineapples we use for decoration during the ceremony to the tables?" LIKE WHAT!? Are you kidding me- I have never once mentioned I want them as part of the ceremony, it has ALWAYS been part of the table decor. So I gently reminded her of the original plan and her reply then was, "You may buy as many pineapples as you'd like!"

My fiance and I swear she is just living that aloha life and is super laid back and I am extreme type A + being a bride but I am so nervous that all the details are going to fall through the cracks and I will have to be out there telling them how to decorate when I should be inside enjoying champagne with my people. UGH. Please tell me other brides have had similar issues!!!

I had a similar problem with the venue's coordinator. She was the 3rd one I had in the year I planned my wedding so I gave her some grace initially. We met the October before our December wedding for our menu tasting and went over all the details in person then. The meeting lasted over 2 hours. Imagine my surprise a month later (and a month before the wedding) when she asked me the same questions she asked in October! And that was after we had email exchanges in the month in between. At that point, I clearly but politely explained my expectations for her and that she was not meeting them. I told her I expected her to take detailed notes and at this point in the planning we should be discussing other details not already covered. I don't think she was used to being called out like that and quickly became much more organized and attentive to our wedding details. She even gave us some things for our reception for free to make up for it.

Honestly, my wedding planner is AMAZING. I would be so upset if my wedding planner wasn't awesome, considering how expensive they are. That being said, if it's a venue coordinator that you didn't pay, that would still be frustrating, but I would chalk it up to one of the difficulties of planning a destination wedding.

    Hey Misty!

I’m really sorry that you are feeling this way. I can understand that this is not the ideal situation to be in. Have you mentioned to her that you feel this? It’s a good idea to have an open flow of communication and to acknowledge when you feel like you are not completely satisfied with the service provided. It’s great that you have everything written and documented through email so that both of you can refer back to what has been previously agreed upon.

Hi everyone! Even though my faith in my coordinator was small throughout the planning process- I will say that she and her team executed my vision perfect. All vendors were there and the tables were exactly as I described! It was PERFECT and I can't wait to see more photos!!! I attached one for you all to see. HIGHLY recommend the Olowalu Plantation house in Maui as a venue! The scene is EPIC.
