Charter Bus - Guest Transportation

Hoping for recommendations/advice. Most of our wedding guests are from out of town for our wedding & staying at our hotel. We would like to get a coach bus to for guests to and from the hotel & venue. Everything is happening at the venue.

Due to the size of our wedding we will have to transport 175-200ish people & think 2 buses to shuttling guests. Between the hotel & venue it’s about 15 minutes, plus time for loading & unloading. When guests check-in they will sign-up for a bus. Ceremony starts at 5:30p, the 1st bus @ 4p, 2nd @ 4:15p, 3rd @ 4:45p, 4th @ 5p. (2 buses, 2 trips each). We will have lawn games & light drinks for guests who arrive on the earlier shuttles. Reception ends at 11p, starting buses @ 10p. We will ask the DJ to announce that the buses are outside. As they get filled they will leave and return for the next group.

Has anyone done this before & see possible flaws in my plan? Any suggestions for a good, reliable, expensive coach bus company in the MD-VA-DC-PA area?

    Yes, as well as on google and other search engines. Im finding more limo companies who charge more for this service i was hoping to find a bus company.

    We are in Annapolis and are using Kangaroo Coach. I can't help too much with logistics of the timing b/c I'm freaking out about the same thing right now too. I have visions of ppl beign stuck at the hotel and missing cocktail hour haha.

    Not sure if this is a suggestion or just an fyi, but we went to a wedding in June where they had shuttles leaving at 10pm and then again at 11pm. I think they underestimated the *awesomeness* of their wedding b/c no one wanted to leave at 10 which meant everyone was trying fit on the 11pm shuttle and they ran out of room.

    Because of that, we are only going with all the shuttles leaving at the end of the reception so if people think they will want to leave early they can drive or figure out a different plan.

    No, unfortunately they don't. They recommended a company but when i called i got someone on the phone who was extremely pushy, spoke with a very strong accent so i had a lot of trouble understanding what he was saying, and never called me back. I gave him all of the information on what i was looking for - he bashed every company in the area (which i think is extremely unprofessional) and he said he would give me a call with a price. I haven't heard from him and i haven't followed up... i feel like 1st impressions really stick and i'm not sure that i would feel completely confident in his service.

    We are doing the same thing for our wedding...and having the same type of questions.

    We are doing one shuttle 1/2 hour before the end of the reception & one at the end of the reception...hopefully that works for us.

    I was able to find a school bus that was 1/2 the price - have you tried looking up school buses for rent?

    Thanks Elizabeth! ill look them up now. I was having the same fear about timing on the back end. My thought was some people might want to leave after cake. The buses wouldn't leave until they were full. there is a very good chance we will have the issue of guests trying to squeeze on the last buses - but i think some people will still drive so they have the option to leave whenever so it wont be to big of an issue.

    We did something similar for our wedding, except with 1 bus because we only had about 100 people needing transportation.

    It worked out. Our bus was 1,000 dollars for a 55 passenger bus and 9 hours of rental (5pm--2am)

    Just called Kangaroo and they are a little out of our price range but thank you for the recommendation!

    I was thinking about calling school bus companies... I was hoping for a more luxurious look but on the same hand i'm giving you free transportation with no head aches about drinking and driving. Ill give them a call. Thanks!

    I'd like to second Elizabeth's suggestion. We did the shuttles, and had them leaving at 10p to return guests to hotel at the end of the night. Our reception also ended at 11p, and only two people used the shuttle before 11p. I peaked on it right before it left our reception and people were sitting on the floor, sitting on laps, etc. It was crazy packed--so just don't count on people leaving early bc they'll be partying till the very last minute.
