Buying Alcohol for Reception

Melanie, on February 24, 2015 at 2:23 PM Posted in Planning 0 10

I've seen so many different ratios, calculators, percentages, etc. They are all different.

Does anyone have an example of what they purchased for their wedding? We are having 250 guests and we provide the bar. Our reception will include a cocktail hour and will be 5 hours total. Wine, Beer, Liquor. Wine will be served with dinner as well.

Thanks for any help!

We had to purchase the alcohol, it is at a winery only beer and wine allowed. We purchased 6 cases of wine and 4, 24 packs of beer for 110 people plus soda for non drinkers. We were advised 1 bottle of wine per wine drinker and 6 beers per beer drinker for a 5 hour event which includes ceremony time.

Change your avatar, you'll get more responses that way.

Only advice I can give is:

2 drinks per person during cocktail hour.

1 drink per person for every hour after that.

That's the usual way to calculate. I'm having a bartender do all that for me, so I don't have any experience to share.

We are buying 25 boxes of wine for 100 guests. Each box is the same as 4 bottles, so it's a bottle of wine per guest. We aren't serving any beer or liquor though.

I got a quote for beer and wine for 97 people

    beer and wine only:

    42 bottles of red

    36 bottles of white

9 cases of beer (3 of 3 different types- 24 case)

    Full bar:

    5 Liters of Vodka

    3 Liters of gin

    2 liters of dewars

    2 liters of Jack

    1 liter of canada club

    2 750s of tequila

    2 bottles of vermouth (1 sweet/1 dry)

    30 bottles of white

    30 bottles of red

    6 cases of beer (24's)

this is through a liquor store that has a catering coordinator and they take back unopened beer cases and unopened bottles of wine

Did you ask your venue or bartender. They do things like this all the time. They might have a list or something you can use.

@Valarie - I also have 6 cases of wine (72 bottles) and then about a 1/3 that do no drink or are under 21. Most of our friends/family will be wine drinkers. And if we run out of wine the winery will just open more bottles if needed.

Thanks everyone. We came up with something very close to what @surfergirl86 came up with. We are going through a liquor store that will take back any unopened cases/bottles, but still don't want to order way too much to avoid sticker shock. Thanks! I'll send a note to the vendor and find out if they have a good idea of what to order.

Surfergirl86 are you doing the full open bar? I would lovvveee too but I just dont know how it works as far as buying mixers and all of that? I could go ahead and start buying the liquor though.
