5 Hour Wedding day Timeline???

Ashley1luv3, on April 11, 2019 at 12:54 PM Posted in Planning 0 7
I'm having a hard time trying to figure out a timeline for my 5 hour wedding. Ceremony starts at 3:00pm and we have to be out by 8:00pm. Which means breakdown at 7:30 ( venue cleans up). Do any of you WW friends have a similar time frame. Can I please see your timelines? Tia

My wedding is 6 hrs and this is what I'm looking at roughly. My venue handles setup and teardown though.

4pm arrive at venue and set up guest book, unity cross, welcome sign and escort cards

430pm do detail shots and some bridal pics by myself

    450pm First look with dad

    5pm First look with FH

545 Go back to bridal suite

    6pm ceremony

630 pics with family and bar opens for cocktail hour

    7pm dinner

    10pm leave

I have 6 hours also at my venue. Our timeline is still preliminary, as we're a year out still, but here's what I've figured on my own. This is just the bare bones basics. More detail will be added to this as the date gets closer.

    2pm--getting ready pics at hotel

    2:30pm--first look w/FH, some pics

3:00pm--majority of pics w/bridal party, parents

    4:00pm--ceremony starts

4:30pm--reception starts (steps away from ceremony)---this is when we will finish pics, with family and friends, etc.

5:30pm--B&G intro into reception, first dance, dinner starts

9:30pm--wrap it up, say goodnight, start tearing down, must be out by 10pm.

Here’s my timeline draft: 8-10am finish decorating, 10-1:30 getting ready, 1:30-2:30 wedding party photos, 2:30 guest seating, 3:00 ceremony, 3:30 cocktail hour and photos, 4:30 buffet opens, 5:00 toasts during dinner, 5:15 first dance, 6:45 cake cutting, 7:45 line up for sparklers. The catering said they’d be done cleaning by 9.

Mine is about the same! 5pm-10pm. We allotted an hour for set-up (by family and friends). Then that leaves a cushion of 30 minutes for guests to arrive. Our ceremony will be about 20 minutes (very small wedding party). Our reception will only be about 2.5 hours long. We'll do appetizers while we do wedding photos. (about 20-30 minutes). I'm doing a buffet for about 50 people- so dinner will be relatively quick- 35 to 40 minutes-ish (They'll still have time to eat during the cake time and beginning of dance time). Then we'll do the cake cutting- give everyone another 10-15 minutes (we have our pretty, tiered cake that we'll cut, but we also will have a half sheet cake that will be cut during dinner and available whenever anyone wants it after we cut the big cake). We'll do about 10-15 minutes of toasts. After that, it'll be first dance followed father/daughter & mother/son dance. Then dance music starts for about an 45 minutes to an hour (we're not big on dancing). Then we'll have a short game to end the night- I'm thinking a scavenger hunt (10-15 minutes). Then we'll do a sparkler farewell. That may be adjusted a little as I go, but I left a window at the end for clean-up and in case anything goes long. You also have to count some time between different events within the wedding to account for all the people being moved from one area to the next and through lines, etc.

I have the exact amount of time as you - 4.5 hours because I don't have to allow for any tear-down time. We don't have anything set in stone yet, but this is my rough draft:

    5:30-6 - Ceremony

    6-6:45 - Cocktail hour

6:45-7 - Usher everyone into ballroom

7-7:15 - Introductions, B&G first dance, welcome toast

    7:15-8:15 dinner

7:50-8 - Speeches by MOH and Best Man

    8-8:05 - Cake cutting

    8:05-8:15 - mother/son and mother/daughter dances

    8:15-10 - Dancing

    10 - Sendoff

Our ceremony starts at 2 pm and the reception ends at 530 pm so we are close. We, along with our set-up crew will arrive at the venue at 11 am, I will start getting dressed, hair, makeup etc at 1230. The ceremony is a short one so at 230pm we are having family and group photos outside. During photos, the food will be delivered and setup, its buffet style so once pictures are done at 330 pm people can start eating. We aren't having any scheduled dances, speeches, toasts etc so from 330-530 with just be us mingling with our guests.

Thankfully our venue will setup the tables and chairs that morning before we get there and they will also do the cleanup so that saves a lot of time.

Our ceremony and reception are in different places, and we are allowed into the venues early to set-up. That being said, here is my 5 hour timeline when the wedding actually starts:

5:10 pm: Ceremony Begins (5pm official time)

    5:30 pm: Ceremony Ends

6:00 pm Cocktail Hour Begins at Reception Venue

6:30 Bride and Groom Arrive at Venue

    7:00 Grand Entrance

    Welcome toast given by Dad

    7:15 Buffet is Served

    7:45 MOH toast

    8:10 pm:

    Cut the cake

    First Dance/Mother/son Dance, Father/Daughter Dance

    Dancing Begins

    8:45 pm: Cake is Served

    10:00 pm: Event Ends

11:00pm: Everything must be packed up and all vendors leave by this time
