Why do vendors need so much detail this early on...

Liz, on September 16, 2020 at 10:44 AM Posted in Planning 0 7

Anyone else frustrated at the level of detail your vendors want from you about your wedding so early on in the planning process. For instance in my DJ contract they wanted to know what style of meal we would be serving at the wedding buffet or plated... we haven't even hired our caterer yet... how am I supposed to know! Not really sure why they would need to know that this early on in the ballgame...

I feel like we have about 80% of the wedding already planned just to answer the questions the vendors are asking.

For any questions you haven't decided on the answers to yet, just tell the vendor that you don't know yet and you'll let them know once you decide. At the time we hired our photographer, he asked if we were planning to do a first look. We weren't sure at the time, so we told him we'd let him know once we decide, and he was totally OK with it (we ended up deciding to do a first look). My hair/makeup artist asked in the contract about what time I needed to be ready at, and again put "To Be Decided" as my reply since we hadn't worked on our day-of timeline yet. Those questions are there because it's info they will ultimately need to know at some point, but I don't think they necessarily need it 6+ months in advance. Give them any info you have, and make note of what info they're still missing so you can let them know once you decide.

Our vendors asked us this too and we told them that this early on we didn’t know and that even if we did it could be subject to change and each vendor understood. Our photographer asked us about a First Look and about our officiant and we were like uhhhhh we don’t know 😂.

Our Photographer asked us about First Look to... I didn't even know what that was. I was googling on the phone while I was talking to him.

Have you just tried saying you don't know yet? Keep in mind, they are doing their jobs to help you think about the details and how they all work together. No one service exists in a vacuum. At the ceremony and reception, all of the vendors will interact with other vendors in some way.

Some I have, some I've made quick decisions, I understand why HAMU would want to know timeframes, as they schedule multiple events a day those kind of things I get. But a lot of the stuff that I'm being seen asked in contracts etc would be much better off being discussed at the 6 month mark, or being given a list of questions upon contract signing to discuss at 6 months or closer to the event. So you know that you need to come up with answers.

Why would your dj even need to know that information? I must have really good vendors because they haven’t asked for much yet and my wedding is in March
