When to send hotel block info to guests?

Kathryn, on April 21, 2017 at 7:43 PM Posted in Etiquette and Advice 0 17

My wedding is a little over 6 months away, and I've already reserved of block of hotel rooms. Should I send out a brief message to my out-of-town guests now, or wait to share the hotel block info until the invitations go out? I worry that waiting until I send the invitations may make the process too rushed for people who have to make travel plans. I had one guest ask about the hotel block info today, but he works for the hotel chain, so I feel like he doesn't count as a normal example. Thoughts?

I would send them messages now/soon. I think it would be helpful for them to know so they can get their accommodations underway before it gets too close to the wedding. I sent my OOT guests information about the room block 8 months in advance, so they can get their flights booked!

If people asked, which a lot of my OOT family did, we told them. Otherwise we just had an insert with the invites.

Are you sending STDs? Do you have a wedding website? If so, include the hotel block info on the website and put the web address on the STDs and invites.

@FutureMrs Yes we already did STDs, which included our website. The hotel block link is on the website. I just don't know how many folks will actually go look at it.

We sent emails to our OOT guests that we knew would need a room. Lots of people booked early so we are able to add more rooms! We ended up doubling our initial block so I'm really glad we did

Hopefully adults and adult and either 1) check the website for travel info or 2) find their own accommodations

As soon as we knew he block was reserved I let out closest family/friends know. For our save the dates we added a link to the block as well. I don't think it's ever too early - two of my aunts reserved their rooms before our STD's even went out!

I only have two OOT guests and they're both my friends who are friends with each other and we had a group text about it tonight. I'm a big planner when it comes to that kind of stuff and I know they are, so we were all glad to be on the same page. Neither of them have ever been here so they were really grateful to get it taken care of early. I say contact them for sure.

We sent our website on the STDs and that included the link to book in the block. The earliest anyone booked for us was 5 months out.

Almost all of FH's family is in California (wedding is in Wisconsin), since FH is living in California I will probably have him subtly pass the message around once we lock down hotel blocks, otherwise I'm probably not going to worry about it until we send invites out. We have a wedding website so I will add the hotel block info to it for anyone that does check it out to plan travels before the invites go out

I'm going through this right now!! Thanks for posting. I consider OOT like literally 2/3 states over or out of the country. I am just sending an email to OOT guests! And any OOT guest I don't have an email of I'll ping them on social media with a quick "check this website for hotel" I even put stickers at the back of each STD. I guess you could call it overkill but I know some people will still ask anyways..
