Wedding guest transportation

Hi everyone. So I'm looking into nearby hotels for guests to stay since my venue is around 30-45 minutes away from where everyone lives. Most of the hotels I'm looking at are within a 15 minute drive of the venue, but because I want everyone to enjoy themselves and take advantage of open bar I want to make sure they have transportation from their hotel to the venue and back. Almost all of the hotels I have checked with so far don't offer shuttle services (of course!) and I'm pricing renting a bus and it is way more expensive than we would like to pay. Does anyone have any other suggestions? Also, would it be rude if we didn't offer transportation and had them figure it out themselves?

    I wouldn't stay at a hotel if I only lived 30-45 minutes away. I wouldn't worry about transportation.

    I worked hard and paid a lot to arrange transportation, especially since I had a far out location, and only one couple used it. I even had people rsvp for it, and some said yes they would use it and then drove themselves anyway. I just want to cry when I think about that thousand dollars I could still have in my pocket right now.

    Lyft does event codes that are easy to setup and you’re refunded any unused money.

    Uber and Luft both do gift cards and vouchers. The vouchers with Uber would be a set amount towards each fare or it can be to cover the fare from point A to B (venue to hotel) so they don’t use it to go bar hopping all night. I’m looking into the option myself. Also, if they all live about a half an hour away, most probably won’t be spending the night

    We opted to use a school bus, so much more affordable than any other bus/transportation we came across. A friend of ours did it for their wedding and we thought it was so fun riding on a school bus again after a fun drunken night lol

    I think 15 minutes is totally fine for asking guests to uber to your wedding or carpool. We provided guest transportation but it was around $3,000, plus our venue was 35 minutes from our blocked hotel and we had a full open bar and a ton of HEAVY drinkers.

    Thanks everyone! We only have a few guests who are coming from out of town and I feel like the only other people who might book a room would be the bridal party. Uber gift cards sound like a good idea for the out of town guests.

    Congratulations on your engagement.


    Having a bus option for your guests can get tricky. The bus can’t leave until everyone’s on the bus. Folks run late and cause others to get irritated, etc. additionally, no ones going to want to leave the reception at exactly the same time therefore the bus will be running back and forth and you may end up a higher cost as well as folks standing outside waiting for it to return.

    Here are my suggestions:

    1. Contract with a bus/shuttle service to transport your guests to wedding and reception venues and then dismiss them. Uber/Lyft may be better options or a string of taxis waiting out front. Just call the local taxi company, provide them with your budget and see what they can work out for you.

    2. If you just can’t swing it financially, about 1 hour to 1.5 hours before reception is ending change over to a non-alcoholic bar.

    3. If your budget can’t increase and the buses are a high priority, then you may need to cut back on other things in the wedding. For example: can you reduce your guest list, change the meal and cocktail hour food options, change the bar from open to cash bar, None of these sound fun but may be necessary to consider.

    4. You have 3 years to save for your wedding. You’d be surprised what you can give up during these 3 years to fit this in your budget. Challenge yourselves: to give up something such as eating out, buying pricey coffee drinks, spa services, etc. No matter how you decide to resolve this I’m sure it will be a beautiful wedding.
