venue's wedding coordinator leaving

I'm getting a little stressed, and I need to vent. We're having our wedding at my parents' private country club. My dad received an email this morning from the club saying that effective today, the guy who was going to coordinate our wedding will no longer be with the club. Since they don't allow people who aren't members to use their facilities, they don't have a whole lot of weddings there. There was only one person there who would coordinate our wedding, and he didn't have a back-up. We don't know who his replacement will be yet.

I'm worried that he/she won't be as good as our original guy, and I'm a little stressed about filling him/her in with all of the details. I'm also anxious to find out how long it'll take before the club finds a replacement. In the meantime, I don't have anyone to contact with any of wedding planning questions.

Ugh...has anyone else had anything similar to this happen?

    Yes, we did have to switch off with one planner.

    Before the person you have been working with leaves, get EVERYTHING that was agreed to (i.e., that benefits you and FH, like, waived fees/charges, allowances, margins, etc.) in writing. That's helpful for 2 reasons, primarily that the venue can't back out of it via a new coordinator who says she can find no record of the agreement. The other reason it is helpful is that writing down what was agreed to date lets the new coordinator pick up where the old one left off, instead of having to reconstruct what was done before moving forward.

    I agree with J&R S. Get EVERYTHING - I mean EVERYTHING you agree to with the previous planner. we had an issue with that when the coordinator at our venue left and was replaced. Have e-mails printed so that nothing can be changed when a replacement is found.

    In the end it will all work out. Stay in close contact with the people you do know so that you can get up and running right away when a replacement is found.

    You have stumbled upon a major difference between a site manager and a professional wedding coordinator, unfortunately. He worked for the site and (presumably) had their best interested in mind. A professional wedding coordinator works directly for you and has your best interests in mind. If you can afford to hire your own (DOC at least) I would recommend doing so. Most site managers make sure their staff is doing what needs to be done, manage the lighting andf climate control and facility issues. There are a few exceptional ones who go beyond that but that would not be the norm, particularly at a country club that does few weddings.

    Thanks, that's good advice. Unfortunately, the guy's already gone. Considering that my parents just found out this morning that effective today, he would no longer be with the club, I'm under the impression that he was fired.

    I'll most definitely keep everything that we have in writing. I think that we may also look into hiring a DOC.

    Ouch. That's too bad. Well, you can still write down everything that was agreed to (to date) and hope to go from there with the new person.

    Our lady left too but except for two things that were not written down (which we asked her repeatedly to do) everything else is fine. We spoke with the new manager and she allowed us the last two items, discounted vendor meals and mariachi, and wrote them into the contract. The new manager has been more helpful also so don't stress out too much. Everything will turn out fine. Also, make sure to ask about an updated tax rate on the contract ONLY if the tax rate in that city went down. Ours did and that saved us another $600.

    Studio G hit it straight on. The venue coordinator is just that, not a wedding coordinator.

    If your impression was that he was let go, it may be a good thing that he's gone. I don't think you're out of line in asking the venue when they plan on getting a replacement.

    On the bright side, you do have some time before your wedding.
