Venue too large

Future Mrs. Keil, on February 12, 2017 at 8:25 PM Posted in Planning 0 15

I went to an open house today at my venue. When we booked I had a guest list of around 130. We've since cut that list to around 60. After seeing the venue, it's still my dream venue but I'm wondering if there's such a thing as it being too large?

It can seat up to 320. With 60 guests I'm worried that it'll be empty. Is it silly to be worried that it's too large for our crowd? Is there such a thing?

Is there any way you can drape off some of the room if you think it will be to big?

There is no minimum of people? If not, ask the venue manager how many people looks good in that room. I feel like having that much extra room would look bad, but I haven't seen it. Another idea is to have the room set up in a way that lends itself to less open space. For example, a large photobooth in a corner, the tables set up closer to the dance floor (not too close to the walls), the DJ/Band set up closer up on the dance floor, any food stations set up on larger displays. Maybe that would help?

Smart Jennalyn lol I'm over here thinking of this random space filling stuff when you have a very simple solution!

I think you can use drapes and screens to block some area, and use smaller tables, so you seat 6 person per table, get 10 table instead of 6 tables, leave enough space between seats, and put on chair sash to take up some space. Also add some lounge area, fancy candy bar, or make your cake table bigger?

Block off part of the room

    Use smaller tables

    Set up a seating/Lounge area

    Have a photo booth/bar area

    Have a large dance floor

I think the space is way to large for 60 guests. You would need to section off a large portion of that room.

You would have to think of a ton of filler. Maybe do food stations? Sweet tables. Champagne or chocolate Fountain. Photo booth. Set up a stage area for your DJ or band. Idk

@AKCouple No. They don't have a minimum. I don't think draping would work since necessary spots are in all the back two corners (the lower catering area and the bar is in the other corners, with the bathroom in the middle.)

I did think about putting the DJ on the stage (I don't know if you can see the stage in the photo), a photo booth in one of the areas, and maybe set up a couple of cocktail tables in front the bar. I'll see if I can find another picture of the other side of the room.

It's going to seem really empty with just 60 people. Unless you can get really creative & fill a lot of space.

We have a guest list significantly smaller than our venue. They're having extra cocktail tables and seats added between where the bar is and where the tables and dancefloor is. So a mini lounge area. Can your venue do that?

Maybe do tables of 6 instead of tables of 8. So there are more tables spread out over the space.

@Bee I have a bunch of cocktail tables and chairs at my disposal. I go online about a week before hand and set the seating chart how I'd like it. The lounge idea sounds great!

My venue offers comfy furniture like couches and arm chairs to make a lounge area, I'm not doing it because the $ is too high but my room isn't quite so big - mine is a 175 person room and I'll have 75 ish guests

Can you add stand up tables in a section by the bar?

I like some of PP's answers about ways to fill the space! I think draping it off would work, but might be costly. Keep your sweetheart table off the dance floor and the guests tables large and a good distance apart for each other. Add a "lounge" area with some couches/ ottomans. A photo booth, memory picture table, guest book table, dessert buffet, place card table, gift table etc... can also help fill the space. If you had anything table wise in the foyer or outside of your venue, change plans and put it inside!
