Venue relocation

So me and fiancé plan on keeping our original date no matter what, 10/24/2020. Our venue is in a small town in Kentucky who has a set price for 150 guest that includes venue, food, dj, and floral decor for venue. We thought it was great cause we planned on inviting 100-120 people. But now cause of covid we expect under 50, like more around 20-30 people max. I’m starting to feel like I can’t justify paying this set price for 150 guest when we only expect 30 to attend. Our contract doesn’t have a lot of info, it just says that our deposit is non refundable (that we already paid). I want to talk to the venue coordinator about if they’re still charging the set price even if there’s less people planning to come because of these unfortunate circumstances, but don’t really know how to ask. Also if we have to pay that set price no matter what I’m wondering if we should just take the loss of the deposit and rent an air B and B instead, and handle the food, music and floral decor ourselves. We dont want to postpone because we are long distance and have planned not to move in together until after marriage (because of my religious family) and I’ve always planned on having a tiny wedding so I don’t mind the downsizing and the amount of people. Has anyone talked to there venue about paying less than the set price due to this? I’m not sure what to do...

    It really depends on what you told them your guest count was going to be and put in your contract.


    Example - my venue has a minimum of 25 ppl and we told them we were expecting 50 - our contract was written for 25 and as we get closer we will up the guaranteed number. But, I also work and deal with vendor contracts so I knew to do this l.

    I would absolutely call (not email, I've had week-or-more delays in responses when I email!) and ask to discuss your options. A pandemic is an unprecedented situation and they should be flexible. Ours had an F&B min but now I believe they're saying that was based on the number of people. Which...now the limit is 10. Even if your venue will discount it a little, remember that you only get married once, could you potentially divert the funds from foods towards drinks/desserts? Sorry if that sounds insensitive at all! Its not intended to. Its what's went through my head, we also are in a situation of not wanting to postpone our reception (we had a much smaller wedding than planned due to also not wanting to live together before marriage). Also, long distance sucks and I'm sorry that you are unable to be closer during such a difficult time.

    Our contract stated a minimum guest count when we signed but definitely talk with them first before jumping to any conclusions.

    Hi Mercy! Like others have said I'd check the written details of your contract and see what you could be on the hook for. For example, in my venue contract I had to hit a food & beverage minimum spend that was way lower than the total bill we paid with the per person pricing.

    Next step is to call your venue and ask about how things might be adjusted by social distancing guidelines and a much lower guest list. Don't be nervous to ask! Just state that your guest list size has significantly changed and you'd like to discuss adjusted pricing. You've got this!
