Venue minimum Not Changing, but Guest Limit Imposed

Kelly, on April 10, 2021 at 4:19 PM Posted in Wedding Reception 0 11
Hi all, anyone else facing issues with the venue and guest counts? Our venue, due to covid restrictions, is limited to 75 guests. I'm totally fine with that. What I'm not fine with is that to pay the package prices for food and alcohol and everything else, the minimum is at non-Covid times 75 guests, so when I asked what it was currently, I was told it is still 75 guests. I don't want to have to worry about inviting and disinviting people if too many accept, so I am not going to have 75. I feel like it should be lowered with the guest cap. Or am I completely off base? I'm just upset because it will be more to pay for all.of this ala carte and when I booked this pre-Covid, we could have had the numbers and we're counting on it.

Sorry for the rant.

Are you saying that if their standard minimum is 100, but restrictions cap the maximum at 75, you shouldn't be charged for the 100? I completely agree with you!

This was one of the concerns we had after postponing but thankfully our venue is large enough to hold 100 even with pretty strict restrictions. They also stated that if the maximum number of people was capped, not by percentage, we would only have to pay the restricted amount.

Are you speaking of food & beverage minimums?
For example: you have a $10,000 food & bev minimum you must meet, and they will not lower that minimum even if the amount of guests you are able to have is restricted?

Food and beverage, yes. They do it based in guest count for the package prices. Venue can typically hold 150, so you need minimum 75 to get the package prices. Covid restrictions make the guest cap 75. But we will still need to guarantee 75 for the package prices.

The situation you are facing is incredibly common right now. Unfortunately, many venues need to reach that food and beverage minimum in order to make a profit. Our venue is also still enforcing the food and beverage minimum, even if capacity is restricted. And that is because once you factor in all the costs associated with hosting our wedding, if food and beverage minimums were significantly lowered the venue would barely break even or potentially even lose money.

They are adhering to regulations and their money coming in needs to meet their minimum, not yours. If your contract was signed with you understanding you had to meet their minimums, I don’t see how there is an argument.

I don’t think you have to guarantee 75 people, you just have to pay for 75 people, whether or not that’s how many people are there.

Would you be able to spend money on other items than the package to make that minimum?
For example say you actually get 60 people only, and the package is $100/person so that’s $6,000. But you need to meet a $7,500 minimum (package price x 75 guests). Can you add an extra food item, and extra drink, or something that costs $1,500 so in the end you’re spending the right amount of money?

I just came into this same problem. My venue just told me, 2 weeks before my wedding, that we had to meet 150 guest minimum. However, the maximum for COVID regulations is 150 so how can they make that the minimum also??.
We already even finalized the menu two weeks ago and we told them we had 90 guests (many declined for Covid reasons) but they’re telling me now that I might not be able to have that menu or it would go up in price bc I don’t have 150 guests. Very upsetting and frustrating and not sure how I can make a case with them bc our original contract we signed a year ago has minimum 175 guests...

Could you say that they’re not holding their part of the contract though because they’re not able to accommodate 175 guests, so why should you have to?

I would think so, or at least make a new minimum comparable to the original based on the new 150 max per Covid rules. But they never notified me of a revised minimum each time covid regulations changed and now two weeks before my wedding, and after we finalized the menu, they are springing this on me. Is it my fault for not clarifying these changes as they happened? I feel like the venue should’ve notified us and made sure things were clear.
