Venue issues - help!!

Hi all,

I could use some advice! My fiancée and I found our wedding venue early in our planning process, and we're now about 9 months out. The venue is a beautiful California vineyard, and they are very hands off: you get the keys for 24 hours, and its your job to plan pretty much everything. Almost nothing is provided, though when we booked they did have a nice list of rentals available, including tables, heaters, and umbrellas, which were at a MUCH lower cost than rental companies in the area. That was a big factor in us booking, since we knew we would want some of the rentals.

The venue recently told us the rentals were no longer available (and alternative options from other rental companies are $500+ more dollars). We asked if they would cover the extra cost to us and asked what additional site changes we might need to be aware of, and we've had radio silence for the last month. Should we ask for our deposit back and change venues to something less beautiful, but also less complicated? When do you lay down the law with a non-responsive venue? How do you do that without damaging your relationship with the vendor, with whom you may still need to work if you don't switch venues? We've emailed three times and called and left phone messages twice. This is a critical time in our planning process, and it's hard to know how to move forward without any responses... I also recently found out that they are no longer doing weddings after 2020, which has me worried about customer service and things moving forward. We've asked for a reply by Friday of this week, but what happens if they don't respond by then?

    Are the rentals and the cost of them included in your contract with the venue? Is your deposit refundable?

    This is something where I would get my planner or DOC involved. Check your contract and wedding insurance if you have it.

    Hey Sarah,

    The rentals were sent at the same time as the contract (in a separate document), but they are not part of the contract itself. However, they were part of the venue "package" when we booked. The deposit is non-refundable, though we're wondering if there's flexibility there since the venue is non-responsive and the rentals (aka part of the venue "package") are no longer available.

    I seriously doubt you'll get any of your deposit back, if you cancel. That's usually something that's iron-clad non-refundable in the contract--no matter the circumstances.

    Are you close enough to the venue to just show up there in person and try to talk to someone? If so, I would do that right away. I would first want to find out why the rentals are no longer available? Did the venue double book your date? Did the winery sell off all the rental items since they aren't doing weddings after 2020? You'd think they would keep that stuff until their last wedding was done, since I bet a lot of couples opt to use them.

    Go over your contract very carefully before talking to someone, so you know exactly what it entitles you to. You said the rentals were part of your "package" but make sure the language is clear. If the venue wants to now change the contract to reflect their "unavailable" rentals, then you should be given some kind of discount, since it's one of the reasons you booked them in the first place.

    Visit in person, if possible. With a letter If not, have delivered a signature required letter ( that you keep copies and a receipt for) stating that they made promises when you reserved the venue, and are now announcing a change in policy which will cost you $500 or more. Cancel the booking, inform them that since they broke the original contract ( written or oral ) you expect a full refund of your deposit. Or a guarantee they will pick up all additional rental fees caused by their stopping their in-house rental program . This is far enough in advance for them to get a new booking. They changed terms, their responsibility.

    Hi all,

    Thank you for the thoughtful suggestions! We actually "showed up" at the venue a few days ago so my mom could see it while visiting from out of town. However, because it's a working farm, the people on site are all farm crew members, and not involved with the event side of things. Unfortunately, we also don't have a planner we can run this by.

    The rentals are no longer available because they the site owner managing them is too much of a hassle. I was also told that and some of them are getting older and would need to be replaced if they were being utilized in the future, which is why they're pulling them. Even though they're not part of the contract itself, we booked after being told we would have access to them. I interpret that as a breach of our agreement.

    Regardless of the rental issues, what have people done in the past with non-responsive vendors that were already booked? Obviously, if I'm not hearing back from a vendor for a month or more that's an issue, but I'm not clear what the "next steps" are with that.
