Just Said Yes June 2022

Venue coordinator is not answering me!!

Sarah, on May 11, 2022 at 9:55 AM Posted in Planning 3 5
I am currently less than a month away from my wedding (June 3, 2022). I reached out to the venue coordinator in mid April asking if we could set up a time to have a call to go over some questions I had. I never heard back so at the end of April I sent a follow up email with the list of questions I had hoped to discuss with her over the phone. A week passes and I don’t hear anything, so I send another follow up, and add to the email subject -please respond (this was Friday May 6, which is 4 weeks away from my wedding). I then started getting a little more aggressive, and on Tuesday I sent an email to another coordinator at the venue in the afternoon, then called the coordinator I am working with later that day and left a message. I understand I am not their only bride, but this is getting ridiculous and I am just not sure what to do next?? When I do eventually hear back is it reasonable to ask for some sort of monetary discount or at least ask them to throw in some free extras??

For some background, this venue charges a 20% admin fee on all costs (food, drinks, decor, room rental, etc) which is supposed to cover the cost of the coordinator. I know she is not a full on wedding planner but I don’t think expecting a response to an email is too much to ask for. Also, my bridesmaids and I will be getting ready in their bridal suite, and they told me I had to place the order for our food while getting ready a month in advance.

Does your contract say anything about month of communication? A lot of coordinators have something about that in their contracts. As for the food, can you contact the venue directly?

Have you tried calling? Are you sure this person is still employed by the venue? Venue coordinators have a pretty high turnover rate so I'd keep calling the venue until you get someone on the phone.

Call them. Most places don’t reply promptly to emails.

Call and go there in person to get a hold of someone.

Your expectations are not unreasonable at all. Anytime I email my venue coordinator, she usually responds within an hour or two, 24 hours later at the latest. Continue to call and leave messages, try a general email rather than a direct email in case she is no longer there and if you have to, go there to speak to someone in person. You can ask for a discount, but not sure if they will accommodate (the admin fee is pretty common) but definitely keep this in mind when it's time to tip!
