Vendor invitations

Shelby, on October 15, 2019 at 7:28 AM Posted in Planning 0 9
So I know we are obviously supposed to have a guest count on how many invitations to get, are we supposed to give our vendors an invitation as well?

We didn't. They already have the critical info on their contracts. And you should be providing them food so...no reason to send one.
We did send them thank you notes though!

Okay, I wasn’t sure. I was more worried about the venue since it is all inclusive. I think/hope the caterer would bring extra food for those vendors since it is all inclusive and they probably already know how many other vendors will be there? I think I’ll have to ask my planner that one lol. Thank you for responding! ☺️

I would definitely ask your venue coordinator. We had to provide a list of vendors because they’re charged at a cheaper rate (since they’re on the clock, they’re obviously not partaking in the open bar)

My contract for my venue requires a head count for vendor meals so they know what to charge (we are doing a plated meal).

Vendors do not get invitations. Much closer to your date, the caterer will ask you for a final headcount. In that headcount, you also state how many vendor meals are needed. These are typically cheaper (but speak to your caterer) because your vendors aren't partaking in the apps and alcohol and such. Confirm with your all your vendor how many meals you need (for instance, my DJ and photographer both brought assistants who also needed to be fed).

Our planner has already told us the caterer needs a headcount 30 days prior. I will definitely have to follow up more with the planner that’s for sure.

A final headcount due 30 days prior to the event date is a super early deadline. Ours was due about 2 weeks prior to the event date.

Our wedding is going to be super small, the venue gives cost of up to 50 people but they were okay with us going a bit over. I’m thinking our final headcount will be exactly 50. But I guess we’ll see once we get there lol. I would like to have a final headcount 30 days out just so I know who will actually be there as well.
