Vendor inquiry: How would you respond?

stacy, on February 6, 2018 at 1:14 PM Posted in Wedding Reception 0 8
My fiancé really wants this local band to play at our reception on NYE and since I am rather indifferent to having a band vs DJ, I put him in charge of contacting them. We finally got a response and would love to hear other people’s feed back. We both have mixed emotions about what was asked of us so if anyone has some good advice on proper response/etiquette- we are all ears!

Email:
Side notes: 1- we are currently maxed out on invites for the venue (immediate family and close friends only) 2- our venue is moderately priced at $160pp 3- we are only acquaintances of 1 band member (not close friends) 4- the asking price is affordable

There's no email attached for us to read, but I'm guessing they asked you about including meals for them?

I'm a wedding singer myself, and it's 100% standard to feed your vendors that are there for the entire reception. In fact, we require it in our contracts, as did all the vendors we hired for our wedding. So that means your band or DJ, photographer, videographer, and photobooth attendant (if you're having those) all get meals.

However, most venues will give a discounted meal for vendors, because they're not partaking in the bar or cocktail hour food, just the entree. Vendors are counted in your headcount for meals, but not in the physical capacity of the venue, because they generally eat in a separate area. Our guest cost was $145 per head, but our vendor meals were only $55 per head.

And if that's not what your question was about... whoops. lol. But do come back to show us the email, like I said, I'm in a wedding band, so I can probably help answer your question.

Agree with this. I had 2 bands for my reception that included some of the same musicians, 1 for the dinner and and 1 for the dancing. We had to provide 5 vendor meals for some of the musicians who performed in both bands.

Sorry! The email states that the band members want a +1 for wives/significant others so that they don’t get into “hot water” for playing on NYE in addition to their higher than average payment request (because they’re bringing in 2 additional band members)

Odd what would the plus ones be doing all night? That’s seems like a distraction. I would say no and see how they react then say no.

I would absolutely say no. It’s unprofessional of your vendors to ask for a +1. What are their wives/girlfriends supposed to do all night? I wouldn’t want them being apart of the reception since I don’t know them. It’s an odd request. They should know in their line of work that missing holidays is part of the job.
