Vendor coordinating

Katie, on September 24, 2019 at 12:33 AM Posted in Planning 1 4
Hi all!
August 2020 bride here. I have almost all of my vendors booked already so I’m feeling ahead of the curve. I’m wondering though when to start reaching out and asking about more specific details.
Mostly with Catering, our caterer is full service and comes with an event coordinator that is more like a day of coordinator but I am unsure of what to ask them for (extra decorations, timeline, etc) and when. I know I have time so I don’t want to bombard them too early with my control-centric self.
thanks!

Wow I’m sort of jealous! 8/1/20 here, we have our venue (catering and decorating included), ceremony location, and hotels but I’m itching to get the rest of the vendors. But we plan to go to a wedding show in a month, so I’m making myself wait.

Our venue/caterer/decorator said something like February or March for our detailed meeting, but when I asked for sooner they were open to it so I’m thinking December/January.

I am in the exact same boat! We’re getting married in October 2020 and I am a huge planner and want to reach out so badly lol but don’t want to be too eager and annoying. Following to hopefully get some tips!

Daughter had awesome vendors who were generally very easy to coordinate/communicate with. At the time she booked them, they talked about what their timeline usually is for planning the specifics related to their services. For example, she had an all-inclusive venue (food, beverage, furnishings, linens) that came with an awesome coordinator. She knew up front that her tasting appointment would be 3-4 months before the wedding, and at that appointment she'd need to finalize all the decisions regarding linens, chair selections, etc. However, if she had quick questions at any time, she was free to send the coordinator an email -- which always got answered within a day or so. Similarly, her DJ let her know that he'd be looking for her song selections about a month before, but that her final deadline would be one week before. Her florist was really sweet and helpful, and we probably met with her 4-5 times prior to the wedding. If your vendors haven't already set expectations with you'd, I'd reach out and check to see what their preferences are. In general, I think your plan to "not bombard them" is a really good one! Good luck!
