Under headcount

Stacy, on April 26, 2017 at 10:36 PM Posted in Wedding Attire 0 26

So our minimum headcount for guests is 75, and with our rsvps and ourselves we are at 70. We invited 110. A quantity of people who were given plus ones chose not to bring dates. Also a few of the larger families decided to leave their children with a sitter. We did provide them with the info that children were invited. But now what? Our wedding is just over 20 days away. Im afraid of what they might say. Stressing out

Is there anything in your contract about what happens if you're under the minimum?

Extend invites to "B-listers" or people you would like to come but didn't invite. Maybe friends from work?

No. It just states the required minimum count. We were so certain we were good.

I can't do b listers. I feel rude and awkward. Plus, we intentionally made sure we had room to invite everyone we wanted.

Did you include yourself and FH and your vendors? Dj, photographer, etc?

If it's like the venues we looked at, they'll charge you for 75, even if you only have 70. So you may be out some money, but it's not something to get overly stressed about. You should call the venue and ask what will happen, but that's the most likely.

Can you not just PAY for those extra heads, even if they are no-shows??

I would think that a pure profit cut might be inviting to the venue...

Am I silly to think that way?

Fh and I are included, vendors are counting differently because they don't include alcohol or the special kids options. I am hoping it is the pay for 75 no matter what. I will be fine with that! We budgeted for 130 and invited 110, so we will have more $ left over than budgeted.

Our venue told us that they charge for the minimum amount of people if we go under that. However, I heard that for FH's friend's brother's wedding that was held at the same place, they just had the extra meals sent to the head table (the groomsmen at that wedding were all ex football players in high school, so they could eat a lot).

I hope you didn't pay for 110! We're starting out with a low number & adding on to that. Luckily, our venue will give us our money back for "no-shows"

We didn't pay for 110, we estimated at 95, and paid half with contract indicating that that would be deducted from the total amount confirms and calculated based on headcount.

If you talk to you venue they might let you upgrade something so you are still spending the same amount even though you are under the minimum people. I know people on here have done it before. Can't hurt to call and ask!

Don't stress. Worst case scenario you have to pay for 5 extra meals with no one to eat them. Best case scenario they will let you use that money to upgrade something else, like maybe adding a late night snack or more dessert options.

It's not big deal. You just pay for 75. If you're really that worried, just tell them 75 RSVP'd yes and then on the day of, those extra 5 will just "no show," but this is extreme as no venue will terminate a contract because you're not at the minimum. The minimum is just the amount you have to pay for. Many venues will upgrade other things to help you meet your minimum, in fact. Some will upgrade your cake or your bar or give your guests a late-night snack.

You'll be fine. It's only a 5 person difference, not a 50% difference in head count. Most likely you'll have to pay for the 75 (as that's the case with my venue). Don't stress about it though - it's not worth it!

I'm pretty sure that it means you pay for a minimum of 75, so if only 70 show you just have to pay as if there's 75. Just call your vendor

And FFS, don't ever listen to the people telling you to give out more invitations.

My venue has a minimum as well. Our venue will allow us to use extra budget for a signature cocktail or added appetizers. Definitely talk to your venue. I'm sure this happens all the time.
