uh oh - can't hotel block!

Kyersten, on October 4, 2013 at 12:30 PM Posted in Planning 0 13

So due to a local academy's graduation, we're unable to block off hotel rooms!

Yikes - what should we do for OOT guests?

Oh no! Is there another hotel nearby?

I guess send out STDs and advise them to book early and give a hotel suggestion or two.

Even though you can't block off rooms, can guests till book at the hotel you want? They may need to pay full price, but at least they will still have a place to stay.

There's one hotel in the immediate downtown area where my wedding is, and we sent out STDs 6 months in advance and let people know this was basically their only option and that other groups had also reserved rooms. Quite a few actually booked. There's been more within the last couple of weeks making reservations.

That is a good idea Soonyee. Kyersten, word of mouth about the need to book early will help as well. Get people talking about it so guest may get the hint to book early. I hate it when other events mess with our weddings Smiley smile

I think all of the hotels will be not letting us room block, plus everyone is jacking up prices. I sent out STDs already, not the invitations. I feel weird saying "hey... go ahead and book NOW!" but I will have to as rooms are filling up!

Jeez, it's my wedding weekend, did they really have to pick that one to graduate?! Smiley smile

This happened to us because they were worried that their would be a Packer game in town and that they could get more money for those rooms if there was a game. Luckly, there was not a game on our day so we were able to get people into rooms after all. I would see if another hotel would allow a block set up or like everyone else said call early Smiley smile

I sent out my Save the Dates the second week in September and even before that time, I sent a few emails out to those coming from out of town and gave them the hotel information to book. As long as the hotel is accepting reservations for your weekend, it is not too early to tell people to start booking. Especially with the limited availability due to the graduation, your guests should be told ASAP to start booking.

You don't have to pester them about coming. Just let them know the situation so they know what to expect. More of an FYI.

Yeah I would just let your guests know that there is a graduation that weekend, so you aren't able to block off rooms. Encourage them to book their rooms early if they are planning to attend, and leave it at that.

I was teasing about pestering about an RSVP Smiley smile I can't expect people to know 8 months out if they're coming or not.

But I will definitely be FYI-ing all OOT guests.

I would see if they would be willing to give you a discount for each guest that books or is able to book if there is room.

Not the end of the world...there are other hotels! Don't worry!

Unfortunately ALL hotels in the area are doing it - it's not losing a dream hotel or anything.

All the hotels are taking advantage of the event to raise prices and keep people from blocking off... unfortunately!

So I will let guests know a handful of suggestions and encourage them to book ASAP if they plan to attend.
