Uber Events

Hey guys! Sorry for the novel.

We're thinking about using Uber Events as transportation for our reception.

Here are the details:

Hotels and most of the Air BnBs should be within 5 miles of the venue. I say SHOULD because the only block we've been able to book is the actual venue because it's a holiday. The suggested accommodations are all within 5 miles, but that may not stop anyone from booking 15-20 miles away.

Our venue allows for free parking for the ceremony, and there is a break between the ceremony and reception. The venue MAY require valet parking for the reception, depending on numbers.

We would like to provide reception transportation because a) we're having an open bar b) it's NYE and we'd prefer they don't worry about driving c) I don't like the idea of needing guests to pay/tip valets.

Our original idea was for a trolley to do rounds from the hotels to the venue starting about a half hour before the cocktail hour starts, then running rounds all night in the event someone wants to pop back to their room down the road and come back.

A non stop Trolley round will run us almost $1500, and an abbreviated cycle (4 total) runs $1000.

Instead, we'd like to offer one round trip Uber ride for any guest that isn't staying at the venue. This will cover anyone at an Air Bnb, as well as anyone at other hotels. We would put business cards in the guest bags that read "Courtney and Craig are happy to provide a round trip Uber to the wedding reception on 12/31/18. Please summon the Uber and use the code on the back of the this card."

We would only pay for trips used. Probably looking at about $600.

Is this enough? One round trip? What if people want to run back and forth? Have uncomfortable shoes? Spill something on themselves? Want to check on kids? What happens if there are only a few Ubers available? What if Great-Aunt Ethel doesn't know how to use it? What if guests have to wait for a long time? Is it worth it?

    I've only used Uber Events for a work function. It worked well for the younger attendees. But the older people had to basically wait around for someone younger to jump in with them. OR they called the host of the function repeatedly until they figured out a buddy for them to ride with. So, unless you KNOW that every Great-Ant Ethel will have a younger buddy and won't be calling you or your Mom or your Groom non-stop... it may not be worth the headache.

    I wish our crowd was more tech-savvy, because uber events would save us so much money. To answer your other questions, I would say one is enough for people. If they need to run back and forth, they can do so with their own Uber.

    One trip is definitely enough. I’ve never really heard of people leaving and then coming back for any of those reasons. And if they do choose to leave and come back then that is on tbem

    As a responsible adult, I would include Uber/taxi fare into the cost of going to the wedding. If those weren't options, I would just limit my alcohol intake. Maybe that's just me?

    I'm feeling sort of overwhelmed by planning this particular detail on top of work, so part of me is like "Great-Aunt Ethel can figure it out on her own if she needs to"...but then I feel super guilty. LOL

    Maybe leading up to the event I can ask someone at each hotel to be the Uber coordinator for them to get TO the reception, then leave it to the DJ during the reception.

    Or plan for one Uber at, say, 9:45 and make it a van in case there is a mass exodus of older guests.

    I can agree with this. FMIL mentioned in passing that some may wish to pop in to check on their children back at another hotel, but I agree that can be on them?

    Just do a Google search for Uber Events, make sure it is in the area and pick how you want it to work. There are a few options, I think.

    I just glanced at it, but it seems you can cover one way, round trip or up to a certain amount per trip, using a pre designated code rather than $$$.

    We're planning on putting the code on business cards, so they can easily fit in a wallet or purse. The cards will be tucked into the Welcome bags.

    Smiley smile I can understand that, but most weddings we've been to have offered transportation as a courtesy to guests.

    I agree! This is my last big item but I'm dreading it to much! I'm in the same boat - sort of worried and sort of don't care. I'm hoping it will work itself out in the end, good luck with deciding! Let us know what you end up doing

    We are doing this too. There is no shortage of Ubers here in DC so I'm not worried about demand. You can limit the times that the uber code is available. So we are doing Friday night between certain times and Saturday between certain times.

    I was thinking of doing this but I am concerned that there will not be enough coverage in our area (small town, college town is 15 minutes away and there are Ubers everywhere over there).

    Has anyone actually done it? I was reading that there is a "service fee" of like 10% of your budget just to create the event. I can't find any clear info on the Uber site. Would love to have some "been there, done that" advice.

    I think that is totally sufficient and guests should appreciate that you want to help cover that at all (you certainly don't need to). One trip is plenty and if they choose to go back more than that, as mentioned, it will be on them.

    I was looking for some anecdotal evidence that it works, but I haven't heard of anyone using it for a wedding Smiley smile

    Hey guys! We DID set up the event, but everyone had a DD and we didnt need it. It was easy to set up, but that is all I can say.

    I've also heard that they are doing away with it in March?
