Trolley shuttling guests to ceremony site - how to word on invites?

Niki, on January 24, 2016 at 11:27 PM Posted in Etiquette and Advice 0 10

I'm a little stumped on a clear and succinct way to word this on our invitations.

Our ceremony is on the waterfront, about a 2 minute drive from the reception site. As is the nature of the area, there is absolutely ZERO parking.

Our venue has it set up so that people can park at the reception site and take the trolley to the waterfront. They'll be shuttled back after.

The ceremony begins at 5:30 - our venue coordinator said they will start taking people as early as 4:30, with the last trolley departing for the ceremony at 5:15 so everyone can seated and take me there alone. We will have cool beverages at the ceremony site for people, as well as at the reception site while folks wait for the trolley and/or ceremony to begin.

What is a good way to word this in invites, other than "dont try to drive to the ceremony site. park at the reception site starting at 4:30 for trolley service to the ceremony. the last trolley leaves at 5:15, come after that and you're sol"?

Ran out of room, but as an additional detail - the trolley seats 40 people. It should take 2 trolley runs at most to get everyone there, not including the bridal party.

Maybe just put the reception site as the address on the invite....that way that is where people go. Shuttles can put them up and there is no chance of confusion.

If you have a website, can you put that info there?

@mrjones ooh, thats a great idea! Any thoughts on how to word the timing? Our ceremony starts at 5:30, but folks really need to be there at 5:15 at the latest, and I'm not sure the "your appointment is at 1:15" for a 1:30 appointment trick I use with FH is appropriate for a wedding. ;P

@Shannon yea, that was the plan but I know some folks wont ever even look at the site.

My wedding planner told us just to put 4:15 on the invite for a 4:30 ceremony to allow time. I'd just put 15 minutes before the time they really need to be there to allow for a little bit of leeway. You can always send one full shuttle and leave the second to catch the stragglers.

How many guest and how many shuttles? I'd be concerned if everyone showed up at the same time and had to wait thus delaying the wedding.

Between 50-75 including the bridal party, the shuttle seats 40. Its only a 2 minute ride to the ceremony site so its pretty fast, and we'll have the bar open at the reception site for folks who are waiting.

Maybe add an enclosure car instructing people to park at the venue and a trolley will transport then to the ceremony and bring them back. I would also put the trolley run time frame.

I'd put an enclosure card that said something like "Please park at [insert name of reception location] where you can board a trolley to take you to the ceremony. The first trolley will leave at 4:30 and the last trolley will leave at 5:15. Parking is not available at [insert the ceremony location]."

ETA: Or "the trolley will run from 4:30 until 5:15"
