Too early to start the seating chart?

Angela, on November 30, 2016 at 5:19 PM Posted in Wedding Attire 0 16

Our wedding is April 1 and our invitation designer suggested I get a head start in assigning tables. We're sending out the invitations in middle/late January and we're inviting 220 people, so it will be a big project. I won't worry about the particular table numbers or where the tables are placed yet, but we know they can seat 8-12 people each so I can group the guests now. Is it too early to start this? Will it be too confusing or be creating more work if people decline? Did anyone do this before RSVPs were returned? we're not expecting a lot of declines.

I've wondered this same thing.. I have a feeling it will just be more stress than it's worth when people decline though, and you never know who some people's plus one's will be (or if they will bring one at all). No advice, but following since I'm curious too

It is never too early to start your seating chart, because trust me, it is going to drive you mad. We had 316 people and if I had not started that thing in 2015, I would have had to be committed.

It's not just who sits next to who, but how everything will be arranged. Arrangement is key in utilizing the space and needs to be thoroughly planned.

For your sanity, I say start now.

Put everyone's name on a small post it. Then put them on the board around tables. Then when you have to move them a 100 times you are goodSmiley smile.

Probably a little too early. You can have tables done then have people RSVP no and then scramble to get it figured out

Just a suggestion, just because a table "can" fit 8-12 people, doesnt mean it should. 10 people at a standard round is cramped, 12 would be sitting in eachothers laps.

I don't see the harm in getting a basic grouping, then adjust accordingly as people RSVP

Thanks everyone! We saw the tables set for 10 and there was plenty of room. I'm thinking of going the post-it route in general groupings first.

There are apps for your tablet and phone to create and change your seating arrangement. Our wedding isnt for 9 months but we were in a toss up between round or rectangular tables so we did a "mock" one to see what would fit our guest best. And now its done and saved i can go in a change whatever i want with a slide of the finger

Ive done seating charts for quite a few fundraising events. From my experience, you will be doing at least twice the work if you start now.

I've started doing mine. I just put together likely groups so that I'll have a good reference when the RSVPs come in.

I'm getting married in 43 days and haven't started yet. I'm waiting until I have all of the rsvps. We also will only have 90 guests invited. I keep feeling like I should start it but I don't want to have to do it forty times.

I suppose if you start with parts of it, like doing people's names, grouping in "like" groups, you should know if your VIPs are coming, so you can do those tables. But you will be doing it bit by bit for a while.

are you doing seat assignments or just table assignments?

I've been putting mine together to figure out the max number of tables we would need with every guest RSVPing yes. That way I know how much to buy for our centerpieces and all that which comes way before we even send out invites. I'm just using an excel sheet for now which is easy to adjust and I'll do an actual floor plan much closer.

I'd say it's fine to have some idea as to groupings maybe if you have a smaller guest list. I wouldn't draft one up until after RSVPs are returned because as others have stated, you may end up changing it multiple times after actual figures start coming in.

If you use sticky notes it will be easier to move people around as your RSVPs come in. If I had more people at my wedding, I would have totally done it early and then made changes as RSVPs came in.

I've already created one. It's my general idea as how to place guests if all were to rsvp. If some guests don't I'll just make changes.

I put my post-its on upside down dessert sized paper plates. This allowed me to move tables around the "room".

I just don't know. I've mentally thought who would sit with who but nothing has gone to plan so far so- I'll wait until my RSVPs really start coming in. I already know a few things we'll need to do and again, a rough idea of families sitting together, but...
