Tent/barn arrangement help needed

Hi everyone! I'm in a bit of a planning conundrum with fitting our guests at the reception venue. Our reception is being held in a beautiful barn that seats 80 people. The problem is that our guest list is at 125.

Inside of the barn, we can comfortably have 8 long tables (that seat 8), so we'll need to find space for an additional 6 or so tables.

There's plenty of open room surrounding the barn, so we'll be able to bring in a tent. However, I am torn on if the tent is a good idea with where it would have to be set up.

I'm hoping that the pictures help show the issue:

The barn has a large concrete pad at the bottom, but has no direct access to the barn without walking up and around the side (so the tent would be where the golf cart is and none of those 3 doors go up into the main barn space).

Obviously it's a large space and would allow us to fit the extra guests, but it feels very segregated from the main part of the barn and I fear that it wouldn't be a cohesive experience for our guests.

Trimming the guest list isn't entirely an option - we started out at 144 and narrowed down from there!

    To follow up - there is a concrete and grass area in front of the main barn entrance, but I don't think it's big enough and flat enough to fit the extra tables and buffet.

    The venue is being provided to us at no cost, so this is the one.

    As someone that didn't take into guest list size before choosing the venue, my main advice is DO NOT over invite. It is a recipe for stress.

    Now, with that being said. I cannot say I like your plan to have part of the reception upstairs / inside and the other part downstairs / outside. Your are right, it does seem very segregated. Would you consider having the entire thing outside under a large tent? That way you can keep your venue & guest list. Maybe just have the food upstairs, but have all of the tables / entertainment outside under a tent. Then you could also maybe even use the upstairs for a getting ready or storage room.

    For my wedding, we invited 245 people. Our venue capacity was only 200, but could only comfortable fit 160. YIKES! I DO NOT recommend doing that!!! Anyways, We had approx 160 RSVP yes, and approx 34 no shows on the day of. So, luckily it all worked out in the end. I GOT LUCKY (despite wasting all of that money for the no shows, but I digress). Anywho, that isn't always the case, some people have 100% attendance, so you just can't trust the statistics of a certain percentage not coming.

    Are you also having children at your reception? Because maybe you could have a little kids table that’s more separated from everyone else and allow more seating for the adults in the main area.

    I wouldn’t seat your guests in 2 separate spaces for dinner. If you went the tent route, I’d figure out an option to seat everyone together for dinner— can you rent a tent large enough for that? Is there space for dancing in the barn too? You could possibly have one “room” for eating and one “room” for dancing, with high top tables or a couple tables with chairs around the edges ? Maybe dancing is outside if you can squeeze everyone inside for eating?

    How much of the front of the barn opens? Like does it have huge doors that you could open and butt a tent up to the barn to create extra square footage for the remaining tables you need? Could you maybe get some smaller high top tables and line the sides of the inside of the barn then use the middle for the longer tables?

    How many people have rsvp’d? Maybe you’ll be able to get it trimmed down a little more that way? Also you could try seating 10 people at a table and making centerpieces smaller and taking away charger plates if that’s something you’re going to have.

    I know the venue is free but you either need to find another venue or cut the guest list or have it all outside

    I would really try to arrange the tent in the front of the barn or like Michelle said have the entire dinner outside and dancing inside. Maybe could have cocktail hour inside too since everyone would be standing. Could have some high top bar tables around the perimeter just for people to rest plates or drinks on.

    Is that large door on the front of the barn the only exit? If not, I would say pull the tent right up against the building to make it feel like a seamless transition between the two. Then you won’t have the segregated feel of having the tent away from the barn. That’s also of the ground is level enough to accommodate the other 6 tables.
