Table count!

Hi! So I’m trying to reserve some farm tables for our wedding, as well as chairs. I really don’t know what a good rule of thumb would be when assuming guest count. I know it’s all based on a lot of factors, but for example - We are inviting 200 with the expectation that probably 150 will be there. As I know roughly 20% don’t come, or some are out of state. As far as my chairs, they told me they will reserve 150 and can add more in either direction after RSVPs. For the tables though, they need to know exact amount now (which are of course the most expensive). I don’t know if I should do even more?! But I also don’t want to buy so much extra that it’s a waste.

    I sympathize; predicting how many people will attend is the most stressful thing for me so far. If 20% of your 200 invitees don't come, you'd have 160 people - but every group of family/friends is different, and it's possible that all 200 could show up. And I'm not sure about the format of your wedding, but I imagine that everyone who's there will need a place to sit, so you'd need table space for all 200. I know it's painful to shoulder an additional cost, but I think it's better to be on the safe side. I'd hate it if I didn't have enough seating/tables for everyone who showed up.

    I'm glad they're giving you some flexibility with the chairs!

    I’d say order enough for everyone who may attend (so 20 tables). Then if you only have 160 people, take away the chairs at the ends and seat 8 at each table. You can accommodate 160-200 people. I know it sucks because you’re paying for more tables than you may need, but it’s the lowest stress option.

    You must plan for 100% attendance. It happens more often than you think. Sometimes you get even more than 100% because of "plus ones" you had no idea your guests were bringing and never bothered to tell you about.

    A 20% decline rate is false. We had only 2 out of 180 decline. Get tables for 200.

    You should have in your contract that says when the date gets closer that you tell them how many tables and chairs you need so you are not spending so much and have so many more tables and chairs

    One thing to factor in with farm tables is your center piece. If you are going to do a garland runner or any kind of runner really you will not be able to place a guest on the end of each side. For our 8 foot farm tables we were able to seat 8 at each - 4 on each side.
