Stressing about room block

Shelly, on December 15, 2019 at 4:52 PM Posted in Planning 0 9
I’m getting married on 5/08/20. It is a Friday night. I blocked off 30 rooms at a hotel that is a mile from the venue for 129 a night (which is very reasonably priced for the area). I live two hours from the venue and so do a lot of our guests. I would assume after a full open bar for 5 hrs most of them would be getting a hotel instead of making the 2 hour drive back home. I’m sure some will drive back but I know my crowd and I assume most will stay the night. A lot of family that is flying in from out of state will be renting a large air bnb to house them so they can stay together and will not be renting any of the rooms. I only got the block for one night and now I am concerned I should’ve done more nights? I have a couple who is flying from NY and I doubt they will just stay one night? Also my FH family will be utilizing the room block and I know they will be there for at least two nights as well. Should I just tell them to try to book in advance to make sure they have the room for as many nights as they want? Or try to contact the manager and see if he can add more nights? I just know MOST will stay for one night and I already signed the contract. Any advice? I don’t want to burden anyone that’s paying so much to travel down to see us.

Most hotels will let you add more rooms to your block once the original ones start to get booked up.

These are adults and they can find their own lodging. If they want an extra night they can book themselves. I think it is kind what you are doing but I feel that anyone that wants to stay longer can find their own accommodations.

Typically based on hotel availai they will honor the room rate 2-3 days before and after the night you have blocked. Ask if they will do that or read your contract. We only contracted one night, but more people are staying 2 and as long as the hotel has the rooms, they are honoring our rate.

I got a room block for the night of the wedding and then asked the hotel rep if I could add some rooms for the night before for people who are from out of town. they had no problem doing this and didn’t charge me anything either. I really only did it so that people could get the discounted rate. you should just ask the hotel what they can do

We did a complimentary block for Thursday, Friday, and Saturday night for our Saturday wedding.

I asked the person in charge of room blocks should I need a night before for any guests if I could just call and have that added on so they can get the rate, and she said that was fine. I would do it on a basis to basis scenario. If you actually know of someone staying two nights then ask but if it's just speculation they might say they can't block off a full number of rooms just for chance in addition to the 30 for the wedding night. To get them the rate for two nights is helpful but if the hotel says no then they just get the rate for your wedding night and pay regular the first night.
