Shuttle Logistics

Has anyone organized a shuttle to take guests to/from hotel to venue? I have a hotel block about 15 minutes away from the venue. I was wanting to organize a shuttle to hopefully give people another option other than driving/ubering but I can't figure out the best logistics for it? I'm inviting 225 people but I know not all will stay at the hotel block. Has anyone done this? How did you go about it? Is my guest list just too large for this to be realistic?

    I too am trying to figure this now. So far i see that transport is expensive...

    Check with the hotel to see what companies they normally use.

    Following. I only have 80 guests total, but the hotel is unfortunately 20 minutes away (all close hotels were blacked out due to an event nearby). I don't expect many of my guests to need the shuttle, but want to provide it if possible. I've looked a little into limo services and also briefly at uber events. I haven't really solidified anything yet, though.

    I'm having a shuttle. We have about 80-90 people. Our ceremony is at 4:30 so the shuttle starts at 3pm (to take GM and FH), then comes back for myself and BP. We are doing a first look. Then they will go back and forth to hotel to pick people up. I'm probably going to set a time that shuttle is leaving at say 3:50, 4:05 and 4:15....It's only 3 miles up the road so unsure of specifics. I would make sure to put on your wedding website that the shuttle is leaving from *insert hotel here*. Even people who aren't staying there may want to park their car and take the shuttle.

    I think its going to be hard to do with that many guests. I had 60 guests and it was still challenging.

    Mrs stb, we were thinking something similar, but how does that work for the earlier batches of guests? Are you providing them w refreshments while they wait? Our ceremony is at the reception venue, so i feel like I'd have to have cocktails or something for those who show early

    @cokes, I don't think so. The bar is outside in the back of the venue. Our ceremony site is going to be kind off to the side. It's on a farm. So I'm afraid people would miss it if they went to have a drink. Our DJ will be there playing soft background music so I think that'll be fine. I'm always early for a wedding so I don't think it's a huge deal.

    We're doing this. We used a shuttle/limo company the hotel works with. They will make two trips before the ceremony and two and the end of the reception. They're also on call if we need an early pickup at the end of the night (ex: older relatives want to head black at 9pm, reception goes until 1030).

    It was pricy but worth the peace of mind knowing people can drink and get a ride. Also we got a school bus with holds the most people and is cheapest. And FH is obsessed haha.

    We actually get a credit with each room booked... they just take it off the total of the shuttle charge. Hope this helps!

    I am renting a trolley for my guests. We have about 125 total and close to 90 are from out of town. We rented three cars for our out of country friends to have at the rented log cabins. Then we have a trolley for our hotel guests. They will be sending two trolleys if needed to pick them up and take them to the location. Then at night there will be two pickups. One at 10 and one at 11. We have included this in the website so people can plan to drive on their own or take the trolley service

    @Anne, I have a school bus too! $700! Insanity to me but "nicer shuttles" were $1500. We don't have a limit on how many runs they will make as it's only a few miles away. Our hotel doesn't work with any shuttles so no discount for us!

    @MrsStb, thanks, that makes sense people will likely mingle, i just worry about boring people especially when the guests didn't have a say in the transport schedule.

    So we are having shuttles. We are having two shuttles before the ceremony (both school busses). Our wedding is at 3:30, so they will start running about 1 hour and 20 minutes before the wedding. Then for the rest of the night we will only have one and it will run from cocktail hour until the end of the reception. The shuttle service says it is very rare that every guests uses it or stays until the very end, so they have never had a problem with only having one shuttle run after the ceremony. We will have around 175 guests and of course not all with use it. The bigger the better, get more people on in a timely manner!

    The hotel and or shuttle company should be able to guide u completely in this. Reach out to hotel first they may have a company they contract exclusively . They will let u know times frequency etc and you just have to sign off on it

    I did this, it's tough to guess how many will stay in the hotel. It's definitely a case by case basis and know your crowd type of thing. We invited 225 and have 175 attending. We went with a 24 passenger shuttle and 22 rooms ended up getting booked, so it worked out perfectly for us with the shuttle taking a couple of trips and being available the whole time. When we booked before we had a number they said that we could always change the vehicle later if the number went up by a lot

    I can tell you one thing about shuttles. They are always late. They will wait for your last late guest which will make 25 other people late.

    If you are going to use them, make sure they have an arrival time of at least a half hour before your ceremony.

    I'm using a 40 person upgraded shuttle bus. It's roughly $1300, for 8 hours.

    Thanks for all the tips so far. It seems so obvious now but I didn't even think about asking my hotel about it. I'm definitely going to reach out to the hotel to see who they have used in the past!
