Shuttle from Hotel to Venue

Our ceremony and reception are at the same place and the hotel we put a block on is 7 miles away (11 drive). This is the closest hotel and the shuttle is FO' FREE!

I'm talking to the manager today to iron out shuttle details. I don't want guests to arrive too early or feel rushed. I also don't want there to be only 1 or 2 rides and have anyone left behind, forced to leave earlier than they wanted, etc.

Hotel Check In- 3pm

Ceremony- 4:30pm

Reception Ends by- 10:30pm

We currently have a block of 20 rooms at the hotel so likely 40 guests maximum that need to use the shuttle. I believe it seats about 20 people but I will confirm that today.

Any suggestions are far as timing the shuttle rides? how many rides to do?

Side note- how much do you tip the driver??

    I don't know how far your guests are traveling, but can you ask for an early check in? I know I would feel rushed if I had to drop my bags, hop in the shower to wash off the travel sweat, and get to a wedding in an hour and a half.

    If the rooms are ready before that (which they should be anyway) the hotel will let them in early. I agree them getting ready and luckily most guests are from out of state, although only 1.5 hours away. very few are from more than 2.5 hours away that wont already be there for the rehearsal.

    Following. I'm trying to figure this out too. Our shuttle would need to make 2 trips, which could take over an hour. The venue is only 15 minutes away, but by the time everyone gets on and off, it could add up quickly. We have a 3pm ceremony, so I was thinking that rides could start around 1:45/2. The first round would still get there about 45 min. early, but we plan on offering refreshments, so they aren't just sitting around.

    ETA: every company I've spoken to includes gratuity, so no need to tip.

    I went to a wedding last weekend, where the final, free shuttle, from the room block hotel, arrived just as the ceremony was ending. The bride's cousin, who was supposed to a reader, broke down in tears, when she entered the ceremony room, and discovered she had missed it.

    The ceremony was at 5:00 PM. The first shuttle was supposed to leave at 3:30. I know someone who was sitting on that first shuttle, and waiting. She said it didn't leave until 3:45-3:50, despite the FOG begging the driver to leave. The driver insisted there weren't enough people, to leave.

    I would never depend on a shuttle, myself.

    You should also talk to the hotel about providing a shuttle the day after our wedding. A lot of our guests are OOT, however they are coming the the day before for a golf outing with the FH. As a result, most will actually drive themselves to the ceremony/reception site and take the shuttle back to the hotel. The reception site allows the vehicles to stay overnight and the shuttle will work until about 2pm the next day to return guests back to their cars. It's extremely convenient.

    Map out how long the route takes round trip and that will help. You'll probably need to do 3 trips just to make sure people are comfortable and aren't all crammed into the shuttle (unless you have less people using it than expected). Plan for pick up, 5 minute wait, time it takes for next round trip, pick up, 5 minute wait, etc. and count backwards from your ceremony time/arrival time (last shuttle gets to ceremony site at 4:20 or something).

    I booked my shuttle for an hour before the ceremony to start shuttling people to venue. They said it only takes about 10 minutes hotel is very close to venue. We have a private shuttle that will make several trips from 5pm-12:30am. My ceremony is 6pm and my reception is 6:30-11:30pm. Hopefully it all works out this shuttle service has done plenty of weddings and is familiar with this venue and hotel. My cousin got married a few years ago and he used a yellow school bus to bus guests from hotel to venue and it worked out fine... only thing was it was 100+ degrees and hot as hell on that bus with so many people cramped in. I went with a nicer shuttle with AC lol!
