Shuttle Estimates

Other than specifically asking every guest, how do you estimate how many guests will use the shuttle?

Right now if everyone RSVPs yes we'll have 165 total. But we're still waiting for 100 RSVPs.

The venue is 35-45 minutes away from our hotel block. Any other info needed to help me guesstimate?

Right now I'm trying to figure out if I'll need two 56-passenger charter buses or if one with 2 trips would be enough.

    Can you maybe do two shuttles that leave at the same time to get people there and then reduce to one shuttle that makes 2 runs back during the reception, since older guests may want to leave earlier? I think you need to account on more than 56 guests using the shuttle service if you provide it and your venue is that far out...

    Offering one shuttle that makes 2 stops will be best, so you can have 2 time options for guest. I would suggest going off the number of people that reserved a room at the hotel. Although some of them will decide to drive themselves, that will give you a good number as to who is staying over and would take advantage of a shuttle.

    @RosesAreRed In this case the hotel number would be really low and inaccurate. We have people who live near the hotel and might want to take advantage of a free and safe ride to the venue, but they wouldn't be staying at the hotel. If we used hotel numbers it would be about 20 people!

    I'm also concerned that if we do only 1 shuttle, what will the people on the first shuttle do for 70-90 minutes while the shuttle goes back to the hotel and then makes a second trip to the venue? We'll have bocce ball and refreshments (lemonade and water), but at the beginning of September it's still really hot around 2:30/3pm. Do we need to start serving alcohol that early? Have some other activity to do?

    I would ask around - you know your guests better than we do. I don't think I've ever been to a wedding where people not staying at the hotel bothered with the shuttle. We had our after party at the hotel, and still everyone that took the shuttle had a room for the night.

    On another note, if you have more than 50 at the hotel - I would go with two shuttles, especially since the hotel is so far from your venue. It would suck to have to wait around.
