Seating Chart

Michelle, on May 3, 2016 at 9:59 AM Posted in Planning 0 12

How are you making your seating chart? Etsy has a lot of cute PDFs available, but I'm not sure where the best place is to print something of that size. Has anyone used Vistaprint or a local Kinkos to print a large board like that? I'm looking to print on about a 12x14 hard poster that stands on its own on an easel without a frame. Thank you for any advice in advance!!

I'm doing escort cards. However, I have used FedEx ( prev Kinkos) to print out large poster boards. They are quick and turn out pretty nice depending on what you want (color, gloss, etc). It can get pricey though depending on what you want. I'm also an Etsy lover and have used several templates.

I also did alphabetical listings on 2 16x20 posterboards, which we placed on a table just outside the door - but we had originally planned for easels. We had a rustic barn reception, so I used black posterboard and wrote on it with a thick-tip chalk marker the last name, first name, and then table number.

We didn't want people to have to look at a diagram of all the tables to find their names - alphabetical listing was quick and easy for everyone.

We used escort cards that you run through a regular printer. You can get them at most party stores. I think they were 50 for $5. It was so easy to make changes, at the last minute and didn't cost much.

We maintained our guest list in Excel. We deleted the columns for the addressees, and added a small column for entrée choice, and then just cut and pasted and moved the guests around, to figure out which table to assign.

My coordinator suggested making each table a different picture frame and using those as a seating chart instead. That way if I need to make last minute changes, it won't be too hard (or too expensive) to reprint

I did a seating chart from a PDF that I got from Etsy. I had it printed and mounted onto the board at Office Max. They printed all my signage and programs and did a great job! Here's the best picture I can find of mine at the moment...

ETA: also, due to the number of guests I had, I printed 2 (the other was placed near the bar) so that there wouldn't be a bottleneck of people crowded around one spot.

@Summer, that's exactly what I'm wanting to do. If you don't mind me asking, approximately how much did it cost to print at Office Max?

For reference... This is what we did. Frames were from michael's, faux distressed wood, with a black standard posterboard and chalk pen. Took me about 30 minutes to write out the names, since I already had the alphebetized list.

@Michelle, I think with printing and mounting in this size (24x36 if I remember correctly) it was $30 per. I did alot of printing with them though and took advantage of the coupon they frequently have in their in-store flyer...$15 off $50 in printing services...so I broke up my printing jobs to where I could use that coupon a few times Smiley smile

@Heather - just a thought but doing the same thing, but listing people alphabetically on multiple frames (you might need 4-6) instead of one per table, would make it easier for guests to find their tables... if you have 10 tables, it's going to take awhile for people to find their table by scanning all the picture frames, and they'll get backed up at the table where the frames are sitting, beause you'll have to get close-up to see the names.
