Save the date / room block information

Hi guys, looking some help regarding this! so my venue has a limited amount of space, wedding night we have a block of 55 rooms, minimum of 150 guests but half my guest count is local and half it will be a destination wedding. I have two STDs going out, as one is a boarding pass for our destination guests and a normal one for my family and friends in Ireland that are local. the Ireland STDs, are going out around 4 weeks after my USA. As I have someone traveling over to me on holidays so they are going to travel back to Ireland with them after their holiday so they don't get lost in transit.

we have a room block available, but obviously want our VIPS to have first dibs. I'm sending out my save the dates soon in USA to give them 12 months advancements. and I am unsure on how to go about this? do I only include a small added card with room block information for family and bridal party first? then give the rest of the guests the information? or should I contact these people prior to STD, and then include all the room information for all guests traveling.

    So Save the Dates are often sent out a year, etc in advance and destination wedding invitations suggested 8-10 wks before. While you're giving the heads up early, not all guests will know their schedules right away nor book travel right away. Some travellers may even plan last minute or wait for a good airline fare all year, then forget entirely until you call for their final RSVP 1 week before wedding date. Each person and their money with calendar is different so no need to manage individually. All you can do as host is provide info and let them do the rest. Start by sending out a simple one-card STD with city and country location ASAP to all guests. Include your website address. These are simple to set up and usually free. Use the website to add other info later like hotel group rate info, until your real invitations go out with more detailed info. Best wishes.

    Yes, include room block info only for your VIPs (bridal party, close family, etc.) in an insert or small card with their Save the Dates. This gives them first access without making others feel left out. You can even add a gentle note like “VIP early access full info will go out later to all guests.”

    I would have small card to give to bridal party and family. Treat the rest on a fcfs basis. This takes it off you.
