Rsvp's & meal option tracking

Stacey, on August 19, 2018 at 12:44 PM Posted in Planning 0 16

How is everyone keeping track of their RSVP's and meal choices? We are doing a seating chart instead of escort cards and our venue wants us to give them the guest list & meals by table number. That is fine for when we hand everything to them, but not having a final count & seating chart just yet I'm wondering the best way to keep track for myself for now. I was thinking of doing an Excel spreadsheet set up by name (alphabetical order) & meal choice, but figured I'd check in here since you all always seem to have ideas I've never thought of!

When someone RSVPs I type their choice into a google doc I have set up. So I have a list of all chicken, beef, kids meals, and vegetarian entrees. As well as a list of food allergies and babies that need a seat but not food! Then I’m sharing that with my wedding planner and venue.

An excel spreadsheet would work great, I think. I used the guest list tool on here to track my guests' meals, and it gives you a summary of all the choices, but I know some things have changed with the guest list tool since I got married a couple months ago. You could do it just as easily in an excel spreadsheet.

Thanks everyone! What did you do if people didn't initial which meal they wanted, just listed one of each?

We’re using RSVPify. If they send back a hardcopy link instead of rsvp online then I just manually enter it into the RSVPify site.

I’m using the WW site to track rsvps and meal choices when the time comes for that. I’m a visual person so having everything in one place really helps.

Then you’ll have to follow up with people and clarify.

Our wedding coordinator set up a website for us that’s called “AllSeated” it keeps track of every detail of your wedding. We’re able to put in all guests names, if they’re coming or not, they’re meal choice and also has an entire floor layout of our ceremony space and reception space. It’s been super helpful to use along the way! We are also able to do our seating chart right on there.

Does your venue require you to have the meal indicated per place card? If yes you need to follow up. If no then just put 1 for one person and the other for the other person and when the server comes around thy will be able to tell him who wanted what.

My venue doesnt require the escort cards to have meal indicated. So I just had the couple listed Mrs and Mrs. Then 1 in Column beef and 1 in column chicken. It didn’t matter who ordered so long as I had the right number of each meals at each table. (Ex: Tabl 1 has 4 beef 3 chicken 2 veg etc)

Google spreadsheet. I purchased entree choice stickers I had printed at Zazzle.com, to stick on the back of my escort cards. Makes it easier for the servers.

Hi! So my fiancé bought a white board. So we can always make chances.

Then, write each guest in a color associated with a meal.

It it was fun, and easy to do.
