Rsvp/hotel Reservation Timeline Issues

Hi everyone!

So our wedding is 9/5/2020. I know it is typical to ask guests to return their rsvp’s about month prior. However...the hotel that our wedding will be at needs guests to reserve their rooms *at least* 60 days prior or our room block will be released which would be around July 5th. That means I’d be sending my invites for our September wedding in probably early June or even late May which seems way too early to me!

Thoughts on how I could let guests know they need to reserve their rooms by the beginning of July besides the actual invites? Or should I just suck it up and send the invites early?

Sidenote: l’m also hoping to have a second block of rooms at another local hotel because the prices are through the roof where we are getting married (Labor Day weekend at a very popular lake) and I would just feel better if guests had a second, cheaper often. I plan to let everyone know this is an option on our wedding website.

    You can put that information on your details card that is sent with your invitation and also put it on your website.

    I also think your idea of getting a second hotel is a good option. We got 2 hotel blocks to give our guests options.

    You should put the info on the STDs somewhere. Something like "For more information on accomodations, please visit our wedding website .....". Make it very clear on the website that all reservations must be in by July 5th.

    Yes I was planning on including a details card with the invites. My concern was how early the invitations would need to be sent (about 3-4 months before the wedding). I feel like that is super early!

    I was thinking of doing something like this....maybe even including a small piece of paper/card with the STDs saying something along the lines of what you suggested.

    That is really early. I wouldn’t send them out any earlier than 3 months. If you post the timeline info on your website and your details card, your guests will be aware of the cut off for booking at that specific hotel. And honestly, it is there responsibility to make sure their room is booked. So I would send them out at 3 months and not stress about it after that.

    This is when sending STDs is helpful. Include this information on your STD and have your website up by the time STDs go out.

    My wedding is this October and I sent out invitations the end of June. Reason being we have many out of town guests, as well as our wedding being in Columbus Day weekend. We were also getting a lot of questions about the hotel info. So we sent everything out early so that they would have time to book their rooms and flights and have all the information they need.

    I'd include an insert card with your save the dates about the hotel block, and I'd send those out 10-12 months in advance. Then I'd send invites out 3-4 months in advance, with another insert about the hotel block, but have your actual RSVP date closer to 30 days out.
