RSVP & Final Count

kjoy, on June 15, 2017 at 1:56 PM Posted in Planning 0 11

So our RSVPs are due tomorrow and in which I expected we are waiting for about 15-20 cards back (will give till mid next week). Our numbers are due next Friday so I am not as worried as I probably should be. We have had the so and so plus 4 kids that weren't invited but let it slide as our count is lower than we had expected. Anyways how many extra have you added into your final number to your venue/caterer?

Zero. I gave them the exact number of people who RSVPed. I called or had FMIL call those who I did not receive a call from. I did have one couple call me a week after we gave our numbers (two weeks after RSVPs were due) to say they could now attend. I told them "I'm sorry, we aren't able to accommodate you now. You previously declined and we already turned in our final numbers. I hope you understand."

Absolutely none. The people that have assumed their children, friends, and close cousins were invited were shut down immediately, lol. Those that didn't RSVP within a couple of days before the due date, we called to confirm. Anyone who didn't RSVP or answer our call we removed off the list. So far we've only had to tell 1 person that we have no room for them since they didn't RSVP on time. They are mad but they'll live, lol.

I wouldn't plan for any extra. your caterer will likely plan to make a little extra food regardless, and you may have a last minute no-show, so there is a little bit of wiggle room.

Zero. I followed up with every person who didn't RSVP (about 10). All but one didn't respond. I informed my DOC about this person, but she would have been safe because we had 7 no-shows.

We followed up with everyone if we hadn't received their RSVP so we could give our venue the exact count. You definitely don't want to guess when it comes to that!

No extra because I do NOT want to be charged for them in case they don't show up. It's either RSVP yes to be in the head count or your are not.

Like PP, I followed up with everyone. Some people never received the invite as it was lost in the mail. There was no cushion built into our final count.

No extra. We followed up with everyone who we didn't receive RSVPs from to get finalized responses from them so we could give our caterer and other vendors an exact head count.

We had absolutely no overages! Our goal was 200 and we came in at 170, so it was a win for us. I was definitely not adding anyone or allowing others to add anyone.

I didn't add any extras but I contacted all the non-responders individually. My caterer also stated in the contract that they would be prepared to feed 3% or 5% over the number that I gave them so I had a safety net in case someone changed their mind or showed up with guests.
