rsvp Deadline

Imani, on March 21, 2022 at 5:48 PM Posted in Etiquette and Advice 0 23
I am doing online RSVP; our wedding is 7/31/22. I am trying to think of when I should put a deadline. Any suggestions?

Early to mid-July, to give you time to track down people who don't RSVP, before your vendors need the final head count.

When does your first vendor need a final headcount? Make your deadline a week before that so that you have time to track down anyone who doesn't respond on time.

They haven’t said anything yet. I won’t meet with them until 2-3 months before the wedding. But we have reserved total for 100 people.

Its usually a couple weeks before the wedding that they'll want the final headcount. Example: My wedding is January 30th, 2023 and the final headcount is needed 3 weeks ahead of time, so January 9th....

Good to know! I will prob do a month in advanced. We are going to send out the invitations April 1 and give them until June 30th to RSVP. It’s about 4 weeks before the wedding so we might be good.

When does your caterer need the final headcount? Usually that is 2 weeks before the wedding. You will need a buffer of a week to contact anyone who did not rsvp by the due date. So make the due date 3.5- 4 weeks before the wedding, since invites go out at 6-8 weeks standard and no one can commit before 4 weeks anyway since employers and schools don’t give final schedules prior to that time.

I am not sure - but I have a lot of questions to ask my coordinator when we meet. We have already paid for 100 guest so I assume they’re jus going to prepare for 100. I think you’re right with having the deadline 4 weeks prior. That should be more than enough time.

It sounds like you have an all inclusive venue that has a guest count minimum that must be met? This information is often given during the tour before you sign the contract. Typically when you book a catering company independent from a venue, you give them an estimate of how many guests are invited. They give you a deadline for a final headcount that is given to them when you tally all of your rsvps. The number is not always the same as the original estimate. All inclusive venues are different in that they have a required minimum that you can add to but you cannot go under even if you end up not having as many as you thought. The deadline to give them the headcount (a week after the rsvp deadline) is still the same in most cases. Talk to the caterer to confirm.

Ohhhh, ok makes sense! Yes, we have an all inclusive venue. Like you said we can add more if need be but we can’t go under the 100 because we’re already paying for a minimum of 100. I cannot wait until I meet the coordinator and start planning with them.

We set our RSVP deadline as one month out! My restaurant needs a final headcount/meal requests 2 weeks out and my rental company needs a final headcount 2 weeks out. I figured it would be good for me to give myself a buffer for the stragglers!

Our wedding is July 9, 2022. I set our RSVP date for May 22, 2022. One of our vendors is requesting a head count by end of May. I also would like to know the count ahead of time. It’ll be easier for us to factor in vendor meals before the final catering bill is due.

Thanks Sierra! I am just hoping we don’t have more than 100 people show up. 😆 I am going to give them plenty of time to RSVP & cut it off.
