Rooms Blocks - Booked?!

on September 3, 2019 at 5:03 AM Posted in Planning 0 10

Hi! Slightly freaking out here😂🤣🙃 Question to y’all - am I supposed to room block for every single guest coming from out of the area? I feel like this might be a silly question, haha. So I blocked 30 rooms total (15 at each hotel; 2 hotels in total). We invited more people than that, but I blocked the max amount possible (apparently there’s something else going on in the area during my wedding weekend...didn’t know that until WELL into the planning process😒). Now I’m getting text messages saying that hotels are booked. I did give people ample time (invitations were received 3 1/2 weeks ago...) to figure out travel and lodging. I just have no idea how to go about fixing this. If I contact and room block another hotel, is there a good way to get the info out in time? I told people about VRBO, Airbnb, and other hotels in the area. I’m just not sure if I’m supposed to room block more rooms. Heeelllppppp!

I personally would room block at another hotel for 10 rooms if possible. Then reach out to the people who text you regarding the new block.

I would do another room block ASAP and communicate that to everyone who hasn’t booked rooms. You should try to help accommodate everyone.

Agreed - I think trying to find more hotel rooms for your guests who didn't make it into the block is a good idea. Sure, they've had time to book rooms, but I know that I'd personally expect to be able to still get a room a month out from the wedding.

If you can do a room block at another hotel, even if it’s not quite as close, then definitely do that. But don’t do it if it’ll create more stress and expense for you guys. You blocked off 30 rooms with plenty of notice. Granted, we don’t know how large your wedding is, but that seems fairly reasonable to me? But try to be accommodating and get some more if you can. As for getting the info out, could you send like a massive email or Facebook post or something to people to make sure everyone knows? Make sure everyone knows this room block is only for people who do not have rooms already, NOT an extra hotel option.

I agree with everyone else, try getting another block somewhere close. I had blocked 25 rooms in a hotel for my wedding and ended up using all of them within the first two weeks of invites being sent

You do not need to have blocks for all your guests from out of town. I would contact the two you already have blocks with (or the one that is full) to see if you can add more rooms. That is usually an option.

Can you reach out to the hotels & see if they can add more rooms to your block? Or find a 3rd hotel to block?

I feel like since there's no costs involved with booking hotel blocks you probably should have blocked enough rooms for the out of town guests. I have a guest list of about 90 and I booked 40 rooms through 2 hotels (most are couples or are planning to share a room).

But since you mentioned you weren't aware of an event happening the same weekend I don't think it's too big of an issue. But if you can, I recommend what PPs suggested and just try to book more blocks at a different hotel. That way if everything else is booked you can mention it to your guests and they will know you at least tried your best to accommodate them.

Since you have people plenty of time to book their rooms, i wouldn’t create room blocks at another hotel. I would suggest simply booking a room somewhere else, or trying Airbnb, it’s usually cheaper than a hotel anyways. Room blocks are first come first serve basis.

So what I ended up doing was finding a hotel within 10 min of the other two and blocked 20 rooms. Then I notified the families and our friends. Thanks for the advice!!!
