Room blocks needed before save the dates?

I am new to this wedding forum and this might sound silly!

We are not getting married until 5/15/21. The venue has 75 rooms they recommend our guests start to book this upcoming April. Our projected invite list is about 170. Most of my fiance's relatives are across the country and will need to stay. The problem is our venue is the only one with hotel rooms and other shore wedding couples can also start booking those 75 rooms.

Obviously we wouldn't send save the dates this early. What is a creative, but efficient way to contact out of town guests to encourage them to book ASAP? Email? I've been trying Pinterest as well.

    I really suggest doing a website so you can add/change details as it happens. Just encourage your guests to utilize it!


    We sent our save the dates earlier this month but wanted everything figured out ahead of time to ensure the website was inclusive and detailed.


    For our section on the website regarding hotel we said that hotels are a first come first serve and to reserve early. Our date is very popular, 10.10.2020 and hopefully people do reserve early!

    Will the hotel let you block off those rooms until a certain date to keep others from booking them? That way they are saved for your guests until your save the dates go out. That is what we did.

    I love your idea, Meghan! They said they'll only block 10 rooms at a time. I just feel odd calling family 13 months in advance to book a room but also don't want them resorting to a Budget Inn (of some sort) because we waited too long.

    I definitely have been working on my wedding website! I am going to work on getting email addresses to refer people to it. Yes, 10/10/20 is popular! My brother picked that dates as well Smiley smile

    I would definitely get your room blocks set up, however, personally, I would wait until save the dates are out to tell people about said room blocks. Consider putting a website together then send a mass message out (e-mail, facebook, text etc.) to everyone saying all information for the hotel is posted on the website for anyone who would like to book their rooms in advance. Also suggest to stay tuned for updates as the big day gets closer.

    Out of town guests are probably already aware they need to book their rooms in advance. If you feel like you want to send your save the date's out early, go for it. Pay no mind to the typical or traditional timelines. Go with what your gut tells you!

    Yes, we blocked off a certain amount of rooms, then put the hotel room block info on our wedding website. Our wedding website was included on our save the dates. It was super helpful! I would go that route if you can. I agree with you, talking to your guests about accommodations now is too early.

    I say send the save the dates because of the situation where there aren't a lot of hotel options in the area. It's not the formal invitation, it's literally a heads up to keep this date in mind. But I agree with what others have said. Share the link to your website which can have just a countdown and a "coming soon" in the front page and details on the hotel situation in a separate section so that those who want to get ahead of the game can book their rooms. Those who think it's too far on advance will be making their choice to take the risk.
