Room blocks are full, I’m freaking out

Sara, on August 16, 2019 at 5:55 PM Posted in Planning 0 6
The hotel we chose near our venue books 10 rooms at a time. After those first 10 fill up they make 10 more available to the room block. Guests texted to say they had trouble booking so I contacted the girl we were working with and she said the hotel is all booked that weekend and they can’t accomodate anyone else 😭 I’m about to puke, invites just went out and I know of several people who haven’t booked yet. We planned on providing transportation for guests from that hotel, but now if people are staying elsewhere it just complicates things even more. I’m trying not to stress over things I can’t control, but this is A LOT right now. Any advice and words of encouragement are appreciated. Thank you!

Is there another hotel you could get a block at in the area? Or anyway to have guests staying offsite to drive to the hotel and shuttle anyway?

If there is a comparable nearby speak with their sales department an explain your situation. I know the hotel I used to work for was more than happy to take spill over guests from large group.

Hopefully there are other hotels on the area that can accommodate your guests. Share with them your situation and they may be able to match your rate. Its worth asking. And see if they have a shuttle service

Find the next closest place and do a block there too. I know it seems like a big deal, but it’s easy to just message people the new place and say there are now rooms available there. No biggie, it happens.

Did guests have this hotel information prior with Save the Dates/wedding website? If so they had the opportunity and notice to book. Hotel blocks commonly fill up. I've reminded my guests and I already have 15 or so rooms. It may get filled up, but guests are choosing to wait until the last minute. I gave them plenty of notice and they can cancel the room up to 48 hours before the wedding.

I'd find another block close to your current hotel. The shuttle can easily pick up from two hotels.

It will all work out! Smiley smile
