Room Block Cut Off Date

WKC, on April 17, 2017 at 4:26 PM Posted in Wedding Attire 0 13

I have booked rooms at 2 different hotels to accomodate OOT guests. After reading over the agreement, most want to cut off the booking date 3-7 weeks before the wedding. Im confused considering invites will not go out until then. Help?!

Our block cut off date is: 9-14-17 exactly 1 month before the wedding

Yeah, mine were cut off exactly 1 month before the wedding. I sent my invites out about 7 weeks before which gave people enough time to book rooms. They also had the info when they got their save the dates (if they checked the website).

You could probably let your OOT guests know now that you have room blocks. That way they can book now.

Usually 3-4 weeks is typical for cutoff dates. Invites should go out 6-8 weeks before (ours actually went out 9 weeks before due to so many out of towners)

Thanks. One hotel says june (wedding is in august) one said exactly 1 month out. I will try to communicate to OOT to book early

Have you signed the contract yet? See if you can negotiate the cutoff date. One of mine is 8/5/17 which is the date we're making RSVPs due, so it'll hopefully be easier for people to remember.

7 weeks is pretty early IMO, but if the hotel won't allow a closer cutoff date, maybe you can send invitations a little early, like 10 weeks in advance.

Our cut off block was 30 days prior to the wedding

Our room block cut off exactly one month before our wedding date, and this is what I've seen with other weddings and seen on here. I didn't worry too much about the fact that the room block ended prior to our RSVP deadline because we got our room block info out to guests 7 months before the wedding (the majority of our guest list was OOT, so we sent out STDs instructing guests to check out our website for travel info). Including the room block info with our wedding invitations was more like a reminder that the deadline to book inside the block was in a month. I just worked hard to make sure our invites went out exactly at the 8 week mark so guests really did have a full month to see the room block info (again) and book a room if they still needed to. If you're not sending out STDs, you can always personally contact the few OOT guests and VIPs a little further in advance to give them the info for the room block to make sure they have adequate time to book.

I would definitely see if you could negotiate a different cutoff date with the hotel that is trying to say your block would end 7 weeks before the wedding. That's not reasonable.

Your invitations should go out about 8 weeks before your wedding. When does your caterer need final RSVP numbers by? You should use that date as the RSVP date, then back track it a week to give yourself a week to follow up with people who don't send them in. Ex: if your caterer needs the final numbers 3 weeks before your wedding, making the RSVP date 4 weeks before your wedding. That should help with the room block issue also. You can also include the hotel block information on your wedding website and with your STDs. I can't see your wedding date so idk how far out you are if you sent those already or not.

I'd send out the invites early to avoid any issues then send the guests the info on the deadline for the room block.
