Room Block - Almost no one has booked! Advice?!

Ashley, on July 18, 2016 at 1:24 PM Posted in Etiquette and Advice 0 15

I secured a room block for my wedding and sent out invitations a few months ago, RSVP's were due back July 8. I called the hotel to see how many people have booked and only one couple has at this point.

I am regretting not including an information card, but I did include my wedding website on the back of the invitation...the wedding website has hotel room block info.

Is it tacky to FB message those I am inviting out of town to remind them there is a discount and room block available?

Thank you in advance.

Send a reminder text/email. I have been hounding people to book for ours.

Not your problem. Don't take on unnecessary stress. They're adults, they can book a room themselves. I have a courtesy block and only my parents are booking there---everyone else found a different hotel via their own preferred methods.

Added bonus for me, since they're all staying elsewhere, I don't have to provide transportation to and from the wedding.

I would send out one reminder and leave it at that.

I guess I was just worried I didn't do enough, since I didn't provide a information card. I thought that providing my wedding website would be enough. It clearly is not!

    Thank you for the advice.

I have been hounding my guests every few months on our Facebook group about booking our room block, because I can always add more...until the hotel is full. Unfortunately our DW is a popular holiday spot, and most hotels book up months in advance due to holiday parades, light shows, and their annual tour of the bed and breakfasts. I started with 15 rooms, and I think 12 are booked. But I have come to terms (and warned guests) that if the hotel is full, and I can't add any more rooms, don't come crying to me. We got a great rate of $139 / night and I just checked the regular rate...it's over $250 / night outside the room block! So they will wish they would have listened to me when the rooms are all full later on. You really can't worry about it unfortunately. If they have to find other lodging, then so be it.

Send an email. If they still don't book then it's on them

I would send a text/email reminder. We had a hotel block but it was cheaper for people to book through other websites than with our block! I was worried when only one room had been booked but when I checked with people they advised me they booked rooms but didn't use the block.

Call/text/email/message and remind them. Unfortunately many people don't actually visit wedding websites and probably don't know about your block. Also, many people don't know that when you reserve you must specify the block you're looking to book in.

Check in with them because they may have thought they booked in the right place, but didn't. This is especially important if you're providing transportation from the hotel to your ceremony/reception as you need to request a vehicle with ample space.

Eh. I had 10 rooms blocked. 3 people booked. and then 2 booked after the fact and the hotel allowed them into the block after the fact.

I looked at it like this. I gave them an option, but they are all adults capable of making their own arrangements. Maybe they found somewhere cheaper, maybe they're staying with friends/family. No matter what ti's not your responsibility to manage that-UNLESS the hotel is charging you for a certain amount of rooms.

I would send a reminder, only because I'd guess that a lot of people don't even look at the back of invitations, so it's possible they missed the url to your website altogether.

@Ashley- 80% of our guests came from out of state. Sadly, we had to remind people about the room blocks as well. We had an insert with our wedding website and directing them there for accommodations and hotel information. Very few people looked at the wedding website to get that kind of information, so I constantly had people texting me asking me which airport to fly into or what hotel to look at. As the room block deadline loomed (and hotels in the area were sold out or selling out quickly), I contacted friends to give them the heads-up, and I had my mom give a heads up to family who hadn't booked rooms yet. I know they are adults, but after the heads-up on the situation, they all ended up booking.

ETA: I think you should give your out of town guests a heads up.

Reach out and check in with people, they may have booked elsewhere. We did the same thing, put our website on the invite and hotel info on the website. I think that's fine.

Our blocks all release on the 26th and the hotels WILL sell out. I've already gotten a TON of rsvps from OOT guests that checked Yes for the shuttle, but are not booked in any of the blocks. I plan to check again on the 25th, then text/email/message/call all those guests to find out if they're booked elsewhere, or remind them that they need to book immediately. I need to tell the shuttle how many people to pick up at each location (4 hotels) so unfortunately, I need to get involved.

I also know of at least 2 people who used booking.com at one of our hotels after that block filled.

I wouldn't take it personally or freak out yet. I never use room blocks because brides usually pick hotels that are more than I plan to spend, even when they try to give options in different price ranges, I find them all pretty high. Travelling, buying an outfit, a gift, etc. costs enough that I usually find a motel for like $65 a night rather than even a "discount" hotel for like $130-160 a night. Maybe people have rewards for other hotel chains they prefer to use. Hell, for my own wedding night, I'm staying in the Red Roof Inn! But that is partly because they allow pets to stay for free and we'll have our dog travelling with us. So I mean they might have booked but just someplace else.

It's possible that they didn't look at the back of your invitation, one quick reminder couldn't hurt. I wouldn't worry beyond that though- if they need a hotel room they will find one.

I sent an email to the guests and the info is on my wedding website. I told people mostly because there is a road race the weekend of the wedding and prices will be higher, and some hotels will sell out.

Other than this I'm leaving it to people to book. They are adults and capable of finding a hotel.
