Reception extras

I’m planning a smaller wedding in September (about 65 ppl) in my mom’s yard. We have decided to forego cake and have a variety of desserts important to us as a couple (macarons, mini donuts, pies made by grandma, etc.). We are struggling with how much of each to purchase.

We’re also having a coffee truck (our first date was over his coffee) for the evening and providing 2 free drinks from the truck per guest. Some people have said they wouldn’t drink coffee in the evening. Ugh! We thought it would be a super cute way to treat our guests! Thoughts on both? Thanks!

    It does sound cute!
    I do see how some don't drink coffee at that time of day though. would the coffee truck be able to have other non coffee drinks as well?

    Yes, he’ll have decaf, iced and hot teas, hot chocolate, & Italian sodas. We’ll have a water station too.

    I would plan for the desserts to have 2-3 pieces per person of the small stuff (macarons, mini donuts). And probably 1 piece of pie per person minus 20%. Not everyone will have dessert and some people will have 2 servings.

    That’s about what I thought, 2-3 per person of small items. It adds up, and almost makes me just want a cake! Haha. Thanks!

    Yeah, it's not always cheaper than a cake but it looks more impressive and your guests will be happy with more choices. Cake gets old after a while macarons are always festive.

    I’m thankful my sister is making a one-tier cake for us to cut & cupcakes as a gift. I have a friend who makes macarons and I’m getting a great price. The pies will be free to us. We are blessed, and I don’t want anyone to over-prepare and have waste.

    I'd plan on 1.5-2 servings of desserts per person! My father's side is Italian, so we would FOR SURE drink coffee in the evening with dessert, and I'm sure tired guests would too! Can you pay the coffee truck after based on consumption? I would do 1 drink per guest though and have it come later in the evening for 1 or 2 hours.

    Maybe provide little baggies at the end of the night so guest can take some home. I always love a car snack.Smiley winking

    I love the coffee truck idea, since is representative of how your story started. Are you concerned that you will pay for drinks that will not be consumed?

    His minimum spend is $300. With only 65 guests, if people don’t partake, we could barely meet our minimum. I’m okay with meeting it but certainly don’t want to pay $300 and only have people spend $100 in drinks. If the average drink is $4.20 we should make it close to our minimum, and could afford to go up to $450 for the whole event. He sets up prior to ceremony (for noise and distraction purposes) and stays through the reception.

    The coffee truck is $300 minimum, and we set our max budget. He will cut people off, but I plan to provide a number of “coupons” to be used until we reach our max or the night is over. I mainly want to know we’re getting our $300 worth, and I’m concerned we may not due to the naysayers. Haha.

    I don't do caffeine after midday, but I would be great with decaf -- especially with dessert.

    I found the general consensus to be we need to have 2.5 times the number of guests. So basically, I need to have enough servings for each guest to have 2.5 servings. I've increased my macaron order to 10 dozen and my sister is baking a 10" cake instead of 8". I'm ordering 3-4 dozen mini donuts (unless we decide to make them ourselves since we've perfected a couple recipes & they freeze well). His grandmother is making 4 pies, and we will have 8 dozen cookies.

    My sister used to work in a cake shop all through college, my fiancee's grandmother bends the laws of physics in her kitchen, haha, and we make a mean grain-free/vegan donut ourselves (they freeze well so we're starting this week)! I'm pretty lucky.
