Reception and ceremony under same pavilion?!

Hi there! Soooo I have some concerns about or ceremony/reception. Our original plan was to have the reception and ceremony under the same pavilion. However now that we’re about a year away I’m having some concerns. We planned on having the ceremony under the pavilion set up with the chairs, then having the tables/decor outside of the pavilion for easy access to flip. We were going to have the bartender and some snacks set up outside of the pavilion for guests while we take pictures and set up the reception, all in an hour or less. The wedding is at a park so while I’m sure some guests will wander around while we’re setting up, some of them (especially the older guests) aren’t going to want to wander around under the August summer sun for an hour, and I don’t blame them. My parents however think it’ll be quick and easy to flip, but I’m just not sold on the idea. I don’t want guests standing around watching us set up, and I don’t want them to feel uncomfortable by any means, which is why I’m stressing about this. I discussed with my mother about possibly setting up the ceremony somewhere else at the park and leaving the pavilion set up strictly for the reception so guests will have somewhere specific to go for drinks and snacks while we take photos after the ceremony, but she thinks it’s unnecessary to have the ceremony and reception in different areas of the park. Am I stressed about nothing or should I look more into moving the ceremony elsewhere? Another concern is money. We have planned this wedding to be under $5k and so far so good, however moving the ceremony elsewhere would mean we would possibly need to rent another part of the park and that would also mean the possibility of us having to rent another 100 chairs. HELP!

    Couldn’t you just have all the tables and chairs set up under the pavilion and have people seated at the tables for the ceremony? I’d honestly be more nervous about being outside in August for hours with no cooling units than I would be about what to do with the tables and chairs.

    That’s what I was thinking Sarah but I don’t want everyone sitting at tables for the ceremony. And I know the weather sounds horrible but we’ve tested it out and the pavilion is right next to the river and has a lot of shade so even when it’s 85 degrees outside it feels more like 75 under the pavilion, which is also surrounded by trees. and the reception will be going on from 5-1030pm so the temp will definitely go down a bit! I’ve included a pic of the actual pavilion 😊

    Is there room just outside the pavilion for the ceremony? Would you have to pay additional to rent the nearby outside space?

    I believe so however everything on the grounds that is not under a pavilion is fair game - meaning if we get there to set up and there’s people already there we can’t make them move. Does that make sense? Lol the only place we can actually reserve is the pavilion itself. So if we got there early enough to set up we’d be fine but I’d have to find a spot big enough for 100+ people that isn’t already taken.

    Beautiful venue! It can be done, will you hire people to make the switch or will it be family and friends doing that? It does add stress to the situation. Also I would make sure to have a DOC present to make sure it's all set up according to plan. Most guests will probably be fine, but any elderly guests could cause set up issues if they insist on sitting under the pavilion while the space is being changed. Best of luck.

    Thanks Nicole! I definitely want a DOC so we will definitely have that, as for the ceremony I think we’re just going to have to set it up elsewhere near the pavilion and leave the pavilion strictly for the reception. Although I would love to get married under the pavilion it’s just been a huge hassle trying to figure out how to make it work.
